Event management software for UK venues: pick the right kind first

Event management software is any system that plans, sells or runs events, and for a UK venue the kind that matters is the one that keeps the room diary, takes deposits and prints function sheets. The trouble is that three different products share the name. Conference platforms sell tickets and badges. Planner tools help an agency run someone else's party. Venue systems, sometimes called function room booking software, run the rooms themselves. A pub with a first-floor function room, a country house that does 60 weddings a year and a hotel events office all need the third kind, yet most of them trial the first two because those companies spend the most on adverts. This guide sorts the categories, names the tools UK venues actually shortlist, and gives you a demo script that exposes the gaps in about an hour.

What is event management software, and which type does a UK venue need?

Ticketed-event platforms exist for organisers who sell seats to the public: registration forms, badge printing, attendee apps, sponsor pages. If you run a 900-seat conference centre that hosts association congresses, you may need one. A wedding venue does not. None of these tools knows that the Garden Room is double-booked on the last Saturday of June.

Planner software is built for the person who books the venue, not the venue. It tracks suppliers, budgets and client approvals across many locations. Freelance wedding planners like it. A venue that buys it ends up with a lovely checklist and no diary.

Venue event software starts from the space. Every enquiry is a date, a room and a session. Holds expire. Deposits are recorded against the booking. The kitchen gets a function sheet with numbers and dietary notes. That is the category this page is about, and it is where Sonas, Event Temple, Tripleseat, EventPro and Kaliquid sit.

Hotels add a fourth category. A hotel with bedrooms runs a property management system for rooms, and many add a sales and catering module for groups, conferences and weddings on top of it. A hotel that mostly sells its function suite and restaurant, with a handful of bedrooms, can often run events from venue software and keep the PMS for overnight guests.

If you run more than one site, ask for one diary across all of them with each room bookable on its own, and check that deposits, VAT and reports can be split by venue. Multi venue booking is where cheap tools fall over first.

  • Illustrative prices for a mid-market hotel, not a rate card.
  • Room hire supplied together with catering is standard-rated here; a bare room hire could be exempt unless the venue has opted to tax (VAT Notice 742).
  • Deposit is invoiced now; its VAT is due when the payment arrives.

The names UK venues usually shortlist, and what each is built around

Match the tool to how your room actually earns money

A pub function room lives on short notice. Most bookings are birthdays and wakes arranged ten days out, with a buffet and a bar tab. What matters is how fast someone behind the bar can check a date on a phone and take a card deposit. Heavy proposal builders slow that down.

A wedding venue sells the same Saturday once. The system must hold a date for a couple while they visit, release it automatically if they go quiet, and chase the 40% balance twelve weeks out. A couples portal saves hours, which is why Sonas is popular with wedding-only venues.

A hotel events office runs day delegate rates, bedroom blocks and a sales pipeline measured in covers. Event Temple and Tripleseat are closer to that world. A banquet business or caterer that runs several halls, shifts and a kitchen is where Kaliquid is strongest: one calendar across halls, quotes per plate, and kitchen sheets.

What to test in a demo before choosing event management software in the United Kingdom

TestWhy it matters
Hold and release a dateBook a provisional Saturday, set it to lapse in 7 days, and check it frees itself. Stale holds cost wedding venues more than lost enquiries do.
Two rooms, one date, overlapping timesTry to book the Garden Room 12:00 to 18:00 and the whole venue 17:00 to 23:00. The system should stop you or warn you before a client does.
Mixed VAT on one invoicePut exempt room hire and 20% catering on the same bill, as VAT Notice 742 can require. If you cannot, your bookkeeper will be correcting invoices.[2]
Deposit then balanceTake a 25% deposit, then raise the balance invoice and check the deposit and its VAT are deducted, not charged twice.[3]
Function sheet for the kitchenPrint the sheet for a 120-guest dinner with 14 dietary notes. Allergens must reach the kitchen, not stay in an email thread.
Export for your accountantExport a month of invoices and send it to your bookkeeper. Under Making Tax Digital the VAT records have to end up in compatible software.[4]
Delete a guest's dataDelete a past couple's records and check the guest list goes too. UK GDPR makes you answerable for data you keep too long.[5]

VAT and record keeping decide more than the feature list does

UK venues deal with a VAT rule most software ignores. Hiring out a room can be exempt, while food, drink and most wedding packages are standard-rated at 20%. HMRC's land and property notice covers when room hire is exempt and when an option to tax changes that. If your system only allows one VAT rate per invoice, your accountant fixes it by hand every quarter.

Making Tax Digital for VAT means a VAT-registered venue must keep VAT records in compatible software or bridge them from a spreadsheet. A booking tool does not have to file your return, but it should export clean invoice data your accounting package can take. Ask each vendor what that export looks like, and ask your accountant whether it saves them work.

  • Per-line VAT rates, including Exempt and 20%, on one invoice.
  • Deposit invoices that create their own tax point, then deduct on the final bill.
  • An export (CSV or direct link) your bookkeeper has actually opened.

Guest data: the UK GDPR question nobody asks in the demo

A wedding booking carries names, phone numbers, dietary and sometimes medical information for dozens of guests. Under UK GDPR you are responsible for it even when a vendor stores it. Most organisations that use personal information also owe the ICO a data protection fee unless they are exempt.

In practice ask three things. Where is the data stored? Can you delete a couple's records after the retention period you set? Can you give a guest their data if they ask? A vendor that answers vaguely will leave you to answer the ICO later.

What switching really costs a UK venue in staff time

The subscription is the small number. The real cost is the fortnight when your events manager runs two diaries at once, retypes every future booking and teaches bar staff to check the phone instead of the book. For a venue with 180 future bookings, allow roughly two working days to enter them with deposits and contact details, plus a morning of training per role.

Pick a quiet month to switch. January and early February suit most UK venues, because the Christmas party season is over and wedding balances for spring are not yet due. Switching in late November is how a venue loses a Christmas booking in the gap between systems.

Keep the old diary readable for a year, but stop writing in it on the day you go live. Two places to check is worse than one imperfect one.

Where Kaliquid fits, and where another tool is the better buy

Kaliquid suits venues that sell dates and plates: banquet suites, function rooms above restaurants, multi-hall venues and caterers who need the kitchen tied to the booking. It gives you a booking calendar that warns before a double booking, quotes and invoices with your own VAT rates per line, deposits and balances, an enquiry pipeline, event sheets, staff roles and sharing by email or WhatsApp. It runs on Android, iOS and the web. Pricing for UK venues is quoted on request.

It is the wrong buy if you mainly sell tickets to the public, or if you are a wedding-only venue whose couples expect a polished self-service planning portal; Sonas is built for that. Hotels running bedroom blocks alongside events will want a system that talks to their PMS. Ask Kaliquid about accounting links for Xero, Sage or QuickBooks before you assume one exists.

Event management software questions from the United Kingdom

What event management software do hotels use?

Larger UK hotels usually pair a property management system for bedrooms with a sales and catering module for meetings, conferences and weddings. Hotels whose income is mostly the function suite often use venue booking software for events instead. Kaliquid covers the function side: diary, quotes, deposits and function sheets.

Is there free venue booking software?

A shared calendar and a spreadsheet cost nothing, and some planner and calendar tools have free tiers. Before relying on one, check what is capped: users, rooms, bookings a month, card deposits or invoices with more than one VAT rate. A UK venue mixing exempt room hire with 20% catering usually outgrows free tools quickly.

What is function room booking software?

It is venue software for pubs, hotels, clubs and restaurants that hire out a room: a diary per room, provisional holds, quotes with room hire and per-head catering, deposits and the function sheet the kitchen and bar work from. It is the kind of event management software a UK venue usually needs.

Is event management software the same as venue management software?

Not in practice. Most products sold as event management software are built for organisers selling tickets or planners coordinating suppliers. Venue management software starts from rooms, dates and deposits. A UK function room or wedding venue almost always needs the venue kind, even if the vendor's advert says event management.

What do UK wedding venues use?

Wedding-only venues often shortlist Sonas because of its couples portal, Xero integration and Stripe payments. Hotels with events teams look at Event Temple or Tripleseat. Multi-room banquet suites and caterers that need a kitchen sheet tied to each booking are a good fit for Kaliquid. Book demos with at least two and run the same test script in both.

Does my booking software need to be Making Tax Digital compatible?

Your booking tool does not file VAT returns, so it does not need HMRC recognition itself. Your VAT records must end up in MTD-compatible software, though. Choose a booking system whose invoice export your accountant can load without retyping, or you are paying twice for the same data.

Can one invoice show exempt room hire and 20% catering?

It should be able to. HMRC treats bare room hire as potentially exempt while food, drink and most packages are standard-rated, so mixed invoices are normal for UK venues. Test this in the demo with one exempt line and one 20% line and check the VAT summary is split correctly.

How long does it take to move a venue diary to new software?

For a single venue with a year of future bookings, plan two to four weeks: export or retype future bookings, deposits paid and contact details, then run the old diary in parallel for one busy weekend. Do not migrate years of old enquiries; keep the old file for reference and GDPR retention.

How is Kaliquid priced for UK venues?

Pricing for UK venues is quoted per business, based on the number of halls or rooms and how you work. Request pricing from the page and ask for a trial with your own real bookings, including a week in December or June, before you commit.
