Event booking software for private events: from enquiry form to paid deposit
Event booking software is the system a venue uses to take an event enquiry, check the date, place a hold and collect the deposit that turns the hold into a booking. Its job is the first hour after someone fills in your inquiry form, and the week after that. A couple fills in a form at 9:40 pm, three venues reply the next morning, and the one that answered with a real date, a real price and a way to hold it gets the tour. This page covers that front end for restaurants with private dining rooms, event spaces and banquet halls: the form, holds, minimums and deposits.

Reply speed decides more bookings than price
Venue owners who track it tend to find the same thing: the enquiries answered within an hour convert far better than the ones answered the next day. You do not need a study to test it. Pull your last 50 enquiries, note the reply time, and see which ones booked.
Booking software helps in three ways. It collects the date, guest count and budget in the form, so the reply can include a real option. It shows availability instantly, so nobody has to check the calendar first. And it sends a first proposal from a template in minutes.

Holds, first options and releases
A hold is a promise you make to one client that you will not sell a date to someone else for a set time. Without software, holds live in a coordinator's memory and expire whenever someone forgets. Set a rule, for example seven days for a tentative hold, and let the system remind you and the client before it lapses.
Second holds matter on peak dates. When two parties want the same Saturday, the system should record who is first and who is waiting, and offer the date to the second party the moment the first releases it. Ask to see this in the demo; it separates booking tools from calendars.
Write the hold rule into your first reply so the client knows the clock is running. A line such as "We are holding Saturday 14 June for you until Friday at 5 pm" turns a vague interest into a decision date.
Food and beverage minimums, room fees and the all-in price rule
Restaurants usually sell private rooms on a food and beverage minimum rather than a room fee: spend $4,000 on a Friday and the room is free, spend less and pay the difference. Your booking software should track the minimum against the running order so the client sees the gap before the night, not on the bill.
Pricing display is also a legal matter now. In California, SB 478, in force since 1 July 2024, requires advertised prices to include mandatory fees, with an exception that lets restaurants and banquet or catering contracts show a mandatory fee separately if it is displayed clearly wherever prices appear. Nationally, the FTC's fees rule covers live-event tickets and short-term lodging rather than private events, but the direction is clear: show the total.
What to test in a demo before choosing event booking software in the United States
| Test | Why it matters |
|---|---|
| Submit your own enquiry form at 10 pm and time the first reply | The first hour decides many bookings; see what the client actually receives. |
| Place a 7-day hold, then a second hold on the same date | The system must track first and second options and release in order. |
| Set a $4,000 minimum and add an order below it | The client should see the shortfall before the night, not on the bill. |
| Show a quote with a mandatory fee in California | SB 478 has rules on how mandatory fees are displayed; the restaurant and banquet exception has conditions.[3] |
| Take a deposit by card and ask for the full fee in writing | Processing fees are part of the real cost of booking software.[1] |
| Cancel a booking and apply your deposit policy | The refund or forfeit must match the contract and leave a record.[7] |
Taking the deposit online without losing the paper trail
The deposit is the moment a hold becomes a booking. Online card payment makes it easier for the client, and the processing fee is part of the software's real cost. Perfect Venue, for example, publishes its card processing rates next to each plan, from 3.8% on its Basic annual plan down to 2.8% on Premium. Ask every vendor for the same numbers.
Every deposit needs a receipt tied to the event, and the contract should say what happens to it on cancellation. Keep those records; the IRS says most business records should be kept at least three years.
How to choose event booking software: the four kinds of tool and who each one suits
Most lists of event booking software mix four different kinds of product, which is why two tools that both claim to book events can have almost nothing in common. Start by deciding which kind of booking you take, then compare tools inside that kind only.
A venue that sells private events, weddings or corporate functions needs the second kind. The test is simple: can the tool hold a date, quote a package with a minimum or room fee, take a deposit and hand the booking to the team running the night, without a spreadsheet in the middle?
| Kind of tool | Built for | Good fit if you | Poor fit if you |
|---|---|---|---|
| Restaurant reservation platforms with a private-events add-on | Table bookings, with group and private dining as an extra | Run a restaurant where private events are a side line | Sell full-venue hire, weddings or multi-room events |
| Venue and event sales systems (where Kaliquid sits) | Enquiry, date hold, quote, deposit and event sheet for private events | Sell the venue or rooms for weddings, parties and corporate events | Mainly sell tickets to public events |
| General appointment and booking tools | Time slots for classes, rentals or services | Rent a room by the hour with no catering or packages | Need minimums, packages, staged deposits or event sheets |
| Ticketing and conference platforms | Selling seats to attendees, check-in and agendas | Run public events, festivals or conferences | Host private events booked by one client |
What the booking-focused US tools publish, and where Kaliquid fits
Perfect Venue publishes plans from $59 to $189 a month on annual billing, with proposals and payment options on the Professional tier. Tripleseat, which lists restaurants, hotels and venues as its customers and says it has served the market since 2008, sells packages on request. Both put lead capture at the front of their product.
Kaliquid is a venue, banquet and catering system built in India and now sold to venues abroad. It runs a booking calendar that warns on double bookings, quotes, invoices and receipts with the tax rate you set on each line, deposits and balances, an enquiry pipeline, BEO-style event sheets and catering tools, staff roles, and sharing by email or WhatsApp, on the web and in native Android and iOS apps. Plans for the United States are priced on request.
Kaliquid suits venues whose bookings are full events rather than table reservations. If most of your private dining is small parties booked like large reservations, a restaurant reservation platform may handle them well enough, and you should compare both before adding another system.
Event inquiry form software: the fields that qualify a lead, the first reply and the hold
Event inquiry form software replaces the "Contact us" box with a form built around your calendar. The test of a good form is simple: when it lands, can you reply with a real option without asking a single follow-up question? If you need to email back for the guest count, the form is costing you bookings.
Ask for the date and a backup date, so you can offer the second when the first is gone. Ask for a guest count range, not a single number, because people guess low. Ask for a budget band. Five bands (under $2,000 up to $15,000 and above) are enough to tell a rehearsal dinner from a corporate buyout. Ask which room or space they saw on your site, and whether they need food and drink from you or are bringing in a caterer.
The first reply should go out within the hour, and it should not be a generic "thanks, we'll be in touch". Send availability for the date, the room that fits the count, the minimum or room fee for that night, and a link to hold the date. Templates help here: one reply per event type, with the numbers filled from the booking record.
Then create the hold. A tentative hold should carry an expiry date the client can see, for example seven days, after which the date goes back on sale. Kaliquid logs each enquiry in a pipeline and converts it to a booking on the calendar, which then warns anyone who tries to sell the same room twice. Replies and quotes can go out by email or WhatsApp.
- Event date, plus a backup date
- Guest count as a range
- Event type: wedding, corporate, birthday, rehearsal dinner, memorial
- Budget band per event or per guest
- Room or space they want, and start and finish times
- Food and drink from the venue, or an outside caterer
- How they heard of you, for your own marketing numbers
After the deposit: hand the booking to the people running the night
Booking software that stops at the deposit leaves the hard part to email. Between signing and the event, the client changes the menu twice, adds eight guests and asks for a later finish. Each change needs a revised quote, a note to the kitchen and, sometimes, a new deposit amount. Keep all of it on the booking record so the manager on duty sees the final version, not the one from March.
Two weeks out, send the client a final details form: confirmed count, dietary needs, timeline and who signs on the night. Lock the count on the date your contract names, usually three to seven days before. Then print the event sheet from the same record. The fewer times anyone retypes the details, the fewer surprises on the night.

Event booking software questions from the United States
What is event inquiry form software?
It is a form on your website that feeds enquiries straight into your booking system instead of an inbox. A good one asks for the date and a backup, guest range, event type, budget band and room, so staff can check availability and reply with a real option, then place a hold with an expiry date.
What fields should an event inquiry form have?
Keep it to what you need for a priced first reply: event date and a backup date, guest count range, event type, budget band, preferred room, start and finish time, whether they need your food and drink, and how they found you. Every extra field lowers completions, so drop anything you can ask on the tour.
What is event booking software?
It is software that handles the front end of private events: the enquiry form, availability, holds on dates, proposals, minimum spends and deposits. Many products continue into contracts, event orders and invoices, but the booking part is about turning an enquiry into a paid date quickly.
What is the best event booking software for a small venue?
There is no single best tool; the right one depends on what you sell. A small venue that hires out its space for private events should look at venue and event sales systems, which hold dates, quote packages and take deposits, rather than restaurant reservation or ticketing platforms. Shortlist two or three, run the same real enquiry through each in a demo, and pick the one your team can use on a busy Saturday. Kaliquid offers a free 30-day trial so you can test it on live enquiries.
How is event booking software different from a reservation app?
Reservation apps book tables for a time slot, usually with no contract or deposit schedule. Event booking software books a whole room or venue for a client, with a proposal, a minimum spend or room fee, a deposit, and later an event order for the kitchen.
Should a private dining room charge a room fee or a minimum?
Restaurants commonly use a food and beverage minimum, which keeps the room free when the party spends enough. Venues with no kitchen often charge a room fee. Either way, show it clearly in the quote, and in California follow SB 478 on how mandatory fees are displayed.
How long should a date hold last?
Many venues use seven days for a tentative hold and shorter on peak dates. The rule matters less than enforcing it: booking software should remind you and the client before the hold lapses and offer the date to the next party automatically.
What do booking tools charge for card deposits?
It varies by vendor and plan. Perfect Venue, for example, lists Stripe processing from 3.8% down to 2.8% depending on the annual plan as of September 2026. Ask every vendor for the full processing cost in writing before comparing subscriptions.
Can Kaliquid handle private event bookings in the US?
Yes. Kaliquid runs the booking calendar with double-booking warnings, enquiries, quotes, deposits and receipts, on the web, Android and iOS, with your own tax rates per line. Plans for the United States are priced on request.
