Software for Jaipur marriage gardens, heritage venues and banquet halls

A Jaipur booking is rarely one event. A family from Mumbai or London books a garden on Tonk Road or a property near Kukas for three days: mehendi on the lawn in the afternoon, sangeet under lights, haldi by the pool, pheras and a reception on the last night. A local Marwari family books a hall for the wedding and a separate garden for the reception a day later, with 900 guests and a menu built around dal baati churma and ghevar. Both clients want one person who knows every timing, every vendor and every rupee paid so far. That is the job this page is about: how Jaipur venues sell multi-day weddings, what Rajasthan's excise and fire rules ask of you, and how to keep a season of overlapping functions straight.

Kaliquid booking calendar and payments dashboard for a Jaipur venue

Two calendars run through every Jaipur venue

The destination calendar is set by travel, not by pandits alone. From October to March, out-of-town families block dates a year ahead, often around school holidays abroad and the wedding dates their relatives can fly in for. These bookings are large, planner-led and full of third-party vendors: the family's decorator from Delhi, a choreographer from Mumbai, a band that needs a stage built to its spec.

The local calendar follows the muhurat list and the heat. Akha Teej, as Akshaya Tritiya is known here, still produces a surge of weddings in late spring, and summer functions shift to late evening because afternoons on an open garden above 40 °C are not survivable for 800 guests in wedding clothes. A venue that serves both markets needs a calendar that shows a three-day destination hold and a one-evening local booking side by side, so nobody sells the garden twice.

How each kind of venue runs in Jaipur

Marriage gardens (Tonk Road, Ajmer Road, Sikar Road, Jagatpura)
The backbone of local weddings: open lawns for 800 to 1,500 guests with stages and grand entries, sold per plate or as hire plus caterer. Heat, dust and wind shape layout and timings.
Heritage palaces, havelis and forts
Destination weddings over two or three days with rooms, courtyards and lawns. Planner-led, vendor-heavy and booked a year ahead; often hotels, where food can be taxed at 18% as specified premises.
Resorts and farmhouses on the Delhi and Agra highways
Multi-function packages combining rooms and several event spaces, with shuttle transport from the city and staggered guest arrivals.
Banquet halls in city localities
Receptions and smaller weddings with in-house kitchens, several shifts a week in season, and menus built around Rajasthani and Jain requirements.
Dharamshalas and community bhawans
Community-run spaces booked for traditional family weddings at moderate cost, where families often bring their own halwais.

Selling a three-day wedding without losing track of it

Treat a multi-day wedding as one booking with several functions, not as four separate bookings. Each function has its own space, time window, guest count, menu and vendor list, but the advance, the discount and the cancellation terms belong to the whole event. If your register splits them, the family's planner will find the gaps before you do.

The fields that cause trouble are always the same: which space hosts which function, when the previous function's décor must be struck, when the next vendor can enter, and who signs off each handover. Write them into the booking at the enquiry stage, then share one function-by-function sheet with the planner. Change requests arrive constantly in the last fortnight; keep each revision numbered so everyone is reading the same version.

Payment terms deserve the same structure. A common Jaipur pattern is a booking advance to hold the dates, a second instalment when the menu and décor are frozen, and the balance before the first function begins. Tie each receipt to the booking so the balance on the final night is already known.

Local Marwari and Rajasthani weddings: big lists, specific menus

Local weddings bring very different numbers. Guest lists of 800 to 1,500 are normal for established families, and the menu carries expectations: dal baati churma, gatte ki sabzi, ker sangri, mirchi vada and a sweets counter with ghevar in season. Many Jain families need separate preparation without onion, garlic or root vegetables, and the kitchen must plan two lines, not one dish with a note.

Price these weddings per plate with a clear guaranteed minimum and an extra-plate rate, and confirm which counters are included. The argument that ruins the settlement is almost always about a live counter the family believed was part of the package. Put every counter on the quote by name.

Serving liquor at a Jaipur function: the occasional licence

Rajasthan's Excise Department issues occasional licences for the occasional sale or possession of IMFL or beer, beyond normal limits, on occasions such as a marriage, a birthday or New Year's Eve. Its public information page separates a licence for consumption from a licence for sale, each charged per day, and routes applications through the District Excise Officer or Excise Inspector.

Fees in Rajasthan are revised with the annual excise policy, so confirm the current amount with the District Excise Officer before you quote a family a bar package. For destination weddings where the planner handles the bar, ask to see the licence and keep a copy with the event file. A holder of an occasional licence can also buy draught beer in bulk directly from a brewery, which some large receptions use.

Fire NOC through the Rajasthan LSG portal

Fire NOCs for premises in Jaipur are issued through the Local Self Government department, and the application runs online through the state's single sign-on (SSO) portal. The same portal lets anyone verify a fire NOC certificate, which is worth knowing: corporate clients and some planners now ask for it before signing.

Temporary structures are where venues take risks. A large shamiana for 1,000 guests, a stage with heavy lighting rigs and a diesel generator near the kitchen all change the fire picture of an otherwise compliant property. Keep extinguishers staged near the kitchen tent and the generator, keep exits clear of décor, and make the decorator's crew aware of where the extinguishers are before the first function begins.

Heritage settings, monuments and what you cannot build

Jaipur sells heritage, and some of it sits near centrally protected monuments. Under the Ancient Monuments and Archaeological Sites and Remains Act, the area within 100 metres of a protected monument's limit is a prohibited area and the next 200 metres a regulated area. Construction there needs permission, as a PIB release from the Ministry of Culture set out in December 2024.

For an event operator this matters in two ways. Permanent additions to a property inside those limits, such as a new banquet block, need the right permission before work starts. And when a family asks for a structure or lighting rig with a monument backdrop, check what the property itself is allowed to put up.

Open-air music in Rajasthan's wedding season

Most Jaipur receptions happen on open gardens, and the Noise Pollution Rules, 2000 bar loudspeakers between 10 pm and 6 am except in closed premises. The state can permit loudspeakers until midnight on a limited number of festive occasions a year, but a private reception is not automatically one of them. Plan the sangeet and the dance floor around the 10 pm limit, or move the late-night music into a closed hall if the property has one.

How Kaliquid helps a Jaipur venue

Kaliquid holds a multi-day wedding as one booking with separate functions, spaces and timings, and warns when a garden or hall is already held. Quotes and revised function sheets go to the family or planner on WhatsApp, advances and instalments are tracked against the event, and invoices carry CGST and SGST for Rajasthan under state code 08, or IGST when an out-of-state company pays.

Pricing is ₹999 per hall per month on the Pro plan, ₹750 a month if billed yearly, with a 30-day free trial and custom Enterprise pricing for groups of properties. It works on Android, iOS and the web, and exports to Tally.

Questions venue owners in Jaipur ask

How do we get a liquor licence for a wedding at our Jaipur garden?

Rajasthan's Excise Department issues an occasional licence for marriages, birthdays and similar occasions, with separate consumption and sale categories charged per day. Applications go to the District Excise Officer or Excise Inspector. Fees change with the annual excise policy, so confirm the current figure before quoting a bar package.

Where do Jaipur venues apply for a fire NOC?

Fire NOCs are issued by Rajasthan's Local Self Government department through an online service that uses the state SSO login. The same portal lets you verify an existing certificate, which planners and corporate clients increasingly ask to see before they sign a booking for a large function.

Is a heritage hotel wedding in Jaipur taxed at 5% or 18%?

Food supplied with a function at a hotel that is specified premises is taxed at 18% with input credit. At a marriage garden or banquet hall without such hotel accommodation, a hall-plus-food package is 5% without input credit. Décor, entertainment and pure hall hire are 18% either way.

Can we build a new hall near a protected monument in Jaipur?

Within 100 metres of a centrally protected monument the area is prohibited, and the next 200 metres are regulated under the AMASR Act, so construction there needs permission from the authorities before work starts. Check your property's position against the monument limits before planning any permanent extension.

How should we quote a three-day destination wedding?

Quote it as one booking with separate functions: space, timings, guest count, menu and vendors for each, and one set of payment and cancellation terms for the whole event. Number every revision of the function sheet and send it to the planner, so décor strikes and vendor entry times never collide.

What time must music stop at an open-air reception in Jaipur?

Loudspeakers are not allowed between 10 pm and 6 am in open areas under the Noise Pollution Rules, 2000. Closed premises such as banquet halls are exempt. A state relaxation until midnight applies only on notified festive occasions, so plan late dancing indoors or end amplified music on time.
