Banquet hall software for Mumbai venues that run two events a day

A Mumbai banquet floor rarely loses money on the event itself. It loses money in the ninety minutes between the lunch function and the dinner reception, when the lift is booked by the decorator, the kitchen is still plating for the last table and the evening family's photographer arrives early. Land is too expensive to leave a hall empty, so most operators sell the same floor twice on a Saturday in December. This page is written for the people who run those floors, the suburban lawns past Thane, the samaj wadis in Girgaon and Dadar, and the caterers who serve all of them. It covers the licences Maharashtra asks for, how monsoon clauses and corporate purchase orders change a quotation, and what a correct GST bill for a Mumbai reception looks like.

Two shifts, one service lift: where Mumbai halls actually run out of capacity

Seat count is almost never the limit. The limit is the building. A banquet floor above a restaurant in Andheri or Ghatkopar often shares one goods lift with the rest of the block, and many housing societies and commercial landlords restrict vendor movement to fixed hours. If the décor team for the dinner cannot bring the mandap frame up until the lunch crowd has cleared the lobby, your real turnaround shrinks from three hours to about ninety minutes.

Operators who run double shifts profitably write the handover into the booking, not into a WhatsApp message on the morning of the event. The lunch booking gets a hard out-time. The dinner booking gets a stated earliest access time for decorators and a separate one for the caterer. Both families see those times on their quotation, so nobody is surprised when the housekeeping crew starts stacking chairs at 4 pm.

Price the slot, not the date. A Saturday dinner in the peak weeks after Tulsi Vivah is a different product from a Tuesday lunch in August, and most Mumbai halls already charge that way informally. Putting slot-based rates in your booking system means the person answering the phone quotes the same number the owner would.

How each kind of venue runs in Mumbai

Banquet floors in commercial buildings
Stacked lunch and dinner shifts on one floor, limited by shared lifts and landlord vendor hours. Pricing follows slot, floor and capacity.
Lawns in Thane, Mira-Bhayandar and beyond
Sold as full-day exclusive bookings to families who want open space. Rain cover and an indoor fallback decide monsoon business.
Samaj wadis and trust halls
Run by community trusts with member rates, fixed caterer lists and their own booking rules, often in Girgaon, Dadar and the eastern suburbs.
Hotel ballrooms and convention floors
BKC and Lower Parel spaces that serve corporate clients by the day with AV, breakout rooms and PO-based billing.
Coastal and hill resorts serving Mumbai
Weekend weddings and offsites that combine rooms, transport from the city and several meal services.

What a June-to-September quotation has to say that a winter one does not

Between June and September the city's rain decides your guests' arrival time. Trains slow down, underpasses flood and a reception that was supposed to start at 8 pm fills up at 9:30. None of that is your fault, but the family will still look at the hall when the food runs cold.

Write three things into any quotation held for a monsoon date. First, a covered drop-off point and who manages it. Second, a rain-day option: whether the family can move to another date, what happens to the advance and how much notice you need. Third, a clear kitchen hold time, after which late service costs extra because staff overtime and re-heating are real costs.

Ganeshotsav sits in the same window. In the ten days of the festival, processions and road closures around popular mandals change travel times across the island city and the suburbs, so check the festival dates before confirming an evening function in late August or September.

One city, four wedding styles: planning for Gujarati, Marwari, Maharashtrian and Sindhi families

Mumbai halls host families whose weddings run very differently. A Gujarati or Marwari family may book three functions over two days, want a Jain kitchen line kept separate, and expect a sit-down thali alongside a buffet. A Maharashtrian wedding often centres on a morning muhurat with a lunch pangat, then a smaller evening reception. Sindhi families frequently plan a late-night function with a bigger bar and snacks spread.

Each of these changes staffing, kitchen timing and the bill. A Jain line means separate vessels and a cook who knows what not to use, which you should price as its own item. A morning muhurat means your kitchen starts at 5 am, which affects overtime. Keep these as named options in your quotation template so the sales team does not reinvent them for every enquiry.

Record the family's community and the functions they want as fields on the booking, not in the notes. When the same family returns for a first-birthday lunch two years later, you will know their menu and their guest count before they finish the call.

Weekday corporate bookings from BKC, Lower Parel and Powai

October to March brings product launches, sales conferences and award nights, booked by the day rather than by muhurat. These clients pay against a tax invoice, often only after raising a purchase order, and many deduct income tax at source before paying. Ask for the company's GSTIN, billing address and PO number before the event, not after it, because an invoice without them sits in the client's accounts queue for weeks.

Corporate bookings also change what you bill. A day conference with lunch and tea breaks is a food-led package, while a launch where the client brings its own caterer and only takes the hall, AV and stage is a hall rental. The GST treatment differs, which is why your invoice should show each supply on its own line.

Corporate planners also cancel and reschedule more often than families, usually because a senior executive's calendar moved. A cancellation ladder written into the quotation, with the percentage of the advance you keep at 60, 30 and 7 days before the event, saves an argument with a procurement team that has never seen your hall.

Vashi APMC, Crawford Market and the 6 am rule for Mumbai caterers

Vegetables, fruit and grains for large functions usually come from the APMC markets in Vashi. Dry fruit, spices and packaged goods are often bought from the older wholesale lanes near Crawford Market and Masjid Bunder. Caterers who work out of the western suburbs plan pickups before the morning traffic builds, because a van stuck on the Eastern Express Highway at 9 am can wreck a lunch service.

For an in-house kitchen, tie purchase quantities to the confirmed guest count and the final menu on the event sheet. The difference between buying for 300 and serving 240 is the margin on the whole function.

Wastage is worth tracking per event, not per month. If Saturday receptions consistently end with 15% of the paneer dish uneaten, the fix is a smaller batch and a second cook on standby, not a cheaper supplier.

Advances, balances and receipts families will not argue about

Most Mumbai halls take a booking advance to hold the date, a second payment a few weeks before the event and the balance before or on the day. Families pay by bank transfer, UPI, cheque and sometimes cash, and often from more than one person's account. Each payment needs its own numbered receipt showing the amount received, the balance still due and the booking it belongs to.

Keep cash limits in mind: income-tax law restricts receiving large cash amounts for a single event, so push big payments to bank channels. When the final invoice goes out, the advances already received should appear on it as deductions, so the family sees one clean balance figure rather than three receipts to reconcile at midnight.

Kaliquid keeps the booking, every advance and the final GST invoice in one record, and sends quotes and receipts on WhatsApp from the same place. The Pro plan is ₹999 per hall per month, or ₹750 when billed yearly, with a 30-day free trial.

Questions venue owners in Mumbai ask

Can a Mumbai banquet hall run a lunch and a dinner function on the same day without problems?

Yes, if the handover is planned as carefully as the events. Put a hard out-time on the lunch booking, a written access time for the dinner decorators and caterer, and confirm lift and loading-dock hours with the building. Most double-shift clashes come from vendor access, not from seat count.

Do we need an excise licence to serve alcohol at a wedding reception in Mumbai?

Yes. Maharashtra State Excise issues a one-day function licence (Form F.L.IV-A) for each event where liquor is served, after the premises has been registered with the department. Registration is free but involves an inspection, so start it well before the wedding season.

Until what time can we play music at a Mumbai reception?

Loudspeakers are not allowed between 10 pm and 6 am, except in closed premises such as banquet halls and auditoriums, and on a limited number of days the state notifies a relaxation to midnight. The Mumbai Suburban Collector publishes those days. Plan the DJ slot around 10 pm unless your date is on the list.

What GST should a Mumbai banquet hall charge on a wedding package with food?

When the hall and food are sold together as one package at an ordinary venue, GST is 5% without input tax credit, split 2.5% CGST and 2.5% SGST. Hall rent without food, décor, DJ and other extra services are billed at 18%. Show each on its own line so the family and your accountant can see the split.

How should we handle monsoon bookings between June and September?

Write a rain clause into the quotation: a covered drop-off, a rain-day rescheduling option with clear treatment of the advance, and a kitchen hold time after which late service is charged. Check Ganeshotsav dates too, since processions change travel times across the city in late August and September.

Is Kaliquid suitable for a samaj wadi or trust hall with member rates?

Yes. You can keep separate rates for members and outsiders, record the approved caterer for each booking and issue numbered receipts for every advance. The trust committee sees one calendar for all halls, so two volunteers cannot confirm the same date to different families.
