Banquet hall and kalyana mantap software for Bengaluru venues

Bengaluru is the one Indian metro where a hall can be fully booked on a Tuesday. A kalyana mantap in Jayanagar might host a Kannada wedding on Sunday morning, while a banquet floor off Outer Ring Road runs a product launch for 180 engineers on Wednesday evening and a team offsite the next morning. Two sales motions, two price lists, one calendar. That split is what breaks most paper registers here: the wedding side is booked months ahead around muhurthams, the corporate side lands with four days' notice and a purchase order, and both want the same Saturday. This page is for owners of mantaps, banquet halls, garden venues on the Kanakapura and Sarjapur side, and the caterers who serve them.

Why Bengaluru halls run two calendars, and where they collide

Weather rarely cancels an event in Bengaluru, so demand is set by calendars, not by the monsoon. Kannada, Telugu, Tamil, Marwari and North Indian families each follow their own auspicious dates, which means the wedding peaks come in layers across the year rather than one long season. On top of that sits the technology sector: offsites, hackathon finales, year-end parties and client dinners that book by the day and pay against invoices.

The collision point is the weekend in November and December, and again in late January. A corporate client wants Saturday for a family day, a family wants the same Saturday for a reception, and the person who took the first enquiry was not the person who took the second. We have seen halls lose a ₹6 lakh wedding because a ₹90,000 corporate hold sat in a manager's phone and never reached the register. Put both kinds of enquiry in one calendar with a hold expiry, and the argument disappears.

Price them separately too. Corporate buyers compare per-head packages and want a clean tax invoice with their GSTIN; families compare the whole-day cost and care about how many functions fit into it. One rate card forces you to discount the wrong side.

How each kind of venue runs in Bangalore

Kalyana mantap
Morning muhurtham ceremonies with breakfast and a banana-leaf lunch, often with an approved-caterer list. The scheduling risk is two functions on one day with too little cleaning time between them.
Banquet hall (city and hotel)
Evening receptions and corporate dinners on the same floor. Rate cards differ by weekday and weekend, and corporate clients expect GST invoices with their GSTIN and PO number.
Garden and farm venues (Kanakapura, Sarjapur side)
Full-day exclusivity for families wanting greenery near the city. Rain cover, generator hours and guest transport are the recurring cost lines.
Tech-corridor convention halls
Conferences, launches and exhibitions with several rooms live at once. Bookings hinge on AV specifications, breakout rooms and access passes for vendors.
Neighbourhood party halls
Engagements, naming ceremonies and birthdays for 80 to 200 guests. Frequent, short, price-sensitive bookings where a quick availability answer wins the enquiry.

Traffic decides your muhurtham timings more than the priest does

A reception that starts at 7 pm in Whitefield will have half its guests stuck on the Marathahalli bridge at 7:15. Operators who have worked the city for a while print an arrival-time note on the invitation guidance they give families, and they plan the dinner service to open 30 to 45 minutes after the official start, not at it.

The same applies to vendors. Florists coming from KR Market and décor crews coming from the other side of the city need load-in windows that avoid school and office peaks. Write those windows into the booking itself, next to the event time, so the kitchen, the décor team and the valet contractor are working from the same clock.

  • Morning muhurtham at a mantap: kitchen starts around 3:30 to 4 am; breakfast service for 300 needs the tiffin line ready before the first rituals end.
  • Evening reception: set décor load-in before 2 pm on weekdays to stay clear of the evening rush.
  • Corporate offsite: agree the headcount cut-off 72 hours ahead and bill the guaranteed number, not the RSVP list.

Flowers, suppliers and what to lock early

Bengaluru's flower trade is a real advantage for décor, and KR Market and the Yeshwanthpur APMC side supply most of it. The catch is that the best florists book out on peak muhurtham dates, often before the family has finalised the menu. If a hall packages décor, the florist confirmation should be a line item in the booking checklist with its own date, not a note in someone's diary.

Caterers working mantaps usually source vegetables and staples from the north or east of the city depending on the venue location. For a Kannada wedding lunch served on banana leaf, the leaf count, the payasa quantity and the number of servers per row matter more than the dish list, and they are what families argue about at settlement.

Billing tech-company clients without chasing payments for 60 days

Corporate events pay well and pay late. The usual pattern is a purchase order, an event, an invoice uploaded to a vendor portal, and payment 30 to 60 days later if nothing on the invoice is wrong. The things that make an invoice wrong are predictable: the client's GSTIN missing or mistyped, the place of supply not matching their registration, the PO number absent, and a headcount that does not match what was guaranteed.

Collect the GSTIN, legal name and PO number at the enquiry stage, not after the event. Bill food at 5% where it is part of the package and décor or AV hire at 18%, and keep the guaranteed headcount on the invoice line. Take an advance before the date for any new corporate client. A 30% advance on a ₹2.5 lakh launch is normal and nobody who intends to pay objects to it.

Rules and permissions for events in Bangalore

TopicWhat applies
Loudspeakers after 10 pmUnder the Noise Pollution Rules 2000, loudspeakers and public address systems may not be used between 10 pm and 6 am except in closed premises such as banquet halls, community halls and auditoria. An open lawn or ground event must switch off amplified sound at 10 pm unless the state has notified one of its limited festival relaxations.[2]
BBMP trade licenceMarriage halls, convention halls and similar commercial premises inside BBMP limits run under a BBMP trade licence, applied for and renewed online. Keep the current licence on file; corporate clients' vendor teams sometimes ask for it.[4]
Professional taxKarnataka levies professional tax under the Karnataka Tax on Professions, Trades, Callings and Employments Act, 1976. A hall that employs staff registers as an employer on the e-Prerana portal and deducts professional tax from salaries.[5]
Fire safety NOCMarriage halls and banquet halls are assembly buildings, a category for which Karnataka State Fire and Emergency Services issues fire NOCs. Temporary décor that blocks exits or adds heavy fabric near lighting is where most violations come from on event days.[6]
Liquor at functionsServing liquor at a function is regulated by the Karnataka State Excise Department under the Karnataka Excise Act, 1965. Check with the Excise Department which licence applies to your hall and event before a family or client arranges a bar.[7]
Food safety registrationEvery caterer and every hall with its own kitchen needs FSSAI registration or a licence, obtained through FoSCoS. Hall owners who allow outside caterers should ask for the caterer's FSSAI number and keep it with the booking.[3]
GST on events (state code 29)Outdoor catering and food at an ordinary venue attract 5% GST without input tax credit, split as 2.5% CGST and 2.5% SGST for a Karnataka client. Hall rent without food and extras such as décor and AV are taxed at 18%.[1]

The Monday-morning settlement that eats your margin

Most disputes with Bengaluru families happen after the event, over plate counts. The package was quoted for 350 at lunch; the family says 320 ate; the kitchen says 380 plates went out. Without a signed guaranteed number and a count taken during service, the hall usually splits the difference and loses money on food that was really served.

Fix it before the event: agree a final guaranteed count three days out, bill the higher of guaranteed and actual, and have the banquet captain record the count at the counter or per row for a leaf service. Keep that count with the booking so the balance invoice is a two-minute job on Monday, not a two-hour negotiation over the phone.

Mantaps, palace grounds, rooftops and farm venues: different problems

The city's venue stock is unusually varied. Traditional kalyana mantaps with in-house or approved caterers sit a few kilometres from hotel ballrooms, palace-style grounds, garden venues on the southern edge and corporate halls inside tech parks. Each has a different pinch point: mantaps worry about back-to-back morning functions, grounds worry about rain covers and power, tech-park halls worry about access passes and security escorts for vendors.

Software does not solve those problems, but it stops them hiding. A hall manager should be able to see, for any date, which shift is sold, who the caterer is, how much advance is in, and whether the décor team has a load-in slot. If any of those four needs a phone call to answer, it will eventually be answered wrongly.

Selling the slow weeks instead of discounting them

Bengaluru has fewer dead months than most cities, but Ashada and the weeks around exams still thin out wedding enquiries. Halls that keep a weekday corporate package ready, with fixed per-head food, a projector, and a clear cut-off for final numbers, fill those gaps without cutting the wedding rate card. The package works best when the sales team can quote it from a phone within a few minutes of the enquiry, because corporate buyers usually ask three venues at once and book the first clear answer.

Questions venue owners in Bangalore ask

How do Bengaluru halls stop a corporate hold from blocking a wedding date?

Give every tentative booking an expiry, usually 48 to 72 hours, and put corporate and family enquiries in one calendar. When the hold lapses without an advance, the date frees up automatically and whoever is on the sales desk sees it, instead of discovering the clash a week later.

Can a Bengaluru banquet hall play music after 10 pm?

Inside a closed banquet hall, yes, because the Noise Pollution Rules exempt closed premises such as banquet and community halls. On an open lawn or ground, amplified sound must stop at 10 pm unless a state-notified festival relaxation applies, so plan the DJ set and send-off timings around that.

What GST should a Bangalore mantap charge on a wedding package?

When the hall supplies the food as part of the package at an ordinary venue, the package is taxed at 5% without input tax credit, shown as 2.5% CGST and 2.5% SGST. If you rent the hall without food it is 18%, and décor, lighting or AV billed separately are 18% as well.

Do outside caterers need anything from the hall owner?

The caterer needs their own FSSAI registration or licence. Most mantaps with an approved-caterer list ask for that number, a kitchen-use agreement and a deposit against damage before confirming the booking, and keep a copy against the event date.

How should I bill a tech company for an offsite?

Collect the company's legal name, GSTIN and purchase order number at enquiry. Show the guaranteed headcount on the invoice, bill food at 5% and AV or décor at 18%, and take an advance from new clients, because vendor-portal payments commonly take 30 to 60 days.

Does Kaliquid work for a single kalyana mantap?

Yes. The Pro plan is ₹999 per hall per month, or ₹750 per month billed yearly, with a 30-day free trial. It covers the booking calendar with double-booking warnings, advances and balances, quotes, invoices and receipts with CGST and SGST, and WhatsApp sharing.
