Running a kitchen that starts at 3 am

A 6:30 am muhurtham for 500 guests means tiffin for 500 ready soon after the rituals: idli, pongal, vada, kesari, coffee in tumblers. That in turn means cooks on site by 3 am, vegetables cut the night before, and banana leaves counted and washed. Mandapams that host evening receptions the previous day have a narrow turnaround, often under six hours, between the last reception guest leaving and the first cook arriving.

Put both functions in the system with real start and end times, including set-up and clean-up, not just the event name. The clash that hurts is not two weddings on one day; it is a reception that overruns into the cleaning window of the next morning's muhurtham.

The public building licence most new mandapam owners miss

Tamil Nadu's Public Buildings (Licensing) Act, 1965 treats any building ordinarily used for celebrating marriage functions or holding parties as a public building, and choultries are named in the definition too. Section 3 says such a building cannot be used as a public building without a licence. The licence states the purpose and the number of people the building can hold without danger to their safety, and it is valid for up to three years.

Two practical points follow. First, the capacity on your licence is the number to quote families, not the number the hall can physically squeeze in. Second, renewal every three years needs to sit in your calendar well ahead, because an expired licence surfaces at the worst moment, usually during an inspection after a complaint.

If you are converting an older building, or buying a hall that has changed hands, ask for the current licence and check that its stated purpose still matches how the building is used. Adding a rooftop dining area or a second hall floor is exactly the sort of change that the licence needs to reflect.

The north-east monsoon plan

Chennai's heavy rain comes with the north-east monsoon, from October to December, and some years bring flooding that shuts roads for days. Venues that have been through a flood write a rain clause into bookings in those months: what happens if the access road floods, whether the date can move, and how advances are handled. Families appreciate being told this at booking rather than on the day.

For a mandapam, that means two corporation deadlines each year besides property tax. Put them on the booking calendar as blocked admin tasks with a reminder a month ahead; late payment is a nuisance cost that a simple reminder removes.

Staff salaries also carry profession tax once they cross the slab, so the half-yearly filing should use payroll figures from the same records you use for event staffing. Hand-kept salary registers are where the numbers usually drift.

Approved caterers and outside caterers

Many mandapams in Chennai work with an in-house or approved caterer, and families shopping for a hall often ask about this first. Whichever way you run it, write it into the booking: who the caterer is, their FSSAI number, what kitchen equipment they can use, gas and utensil charges, and who clears the leaf waste. Disputes about vessels and cleaning charges are among the most common after a Chennai wedding, and they are almost always about something nobody wrote down.

OMR banquet halls and ECR resorts: the modern half of the market

The IT corridor on OMR and the beach venues along ECR sell something different: evening receptions, sangeet nights, corporate events and weekend destination weddings. Their guests come from across the city and from Bengaluru and Hyderabad, and their clients are more likely to be companies needing GST invoices with a GSTIN. These venues run two service patterns, morning ceremony and evening party, and staff rosters have to cover both without paying overtime for idle hours in between.

Koyambedu at 4 am and the cost of a late vegetable order
