Software for Hyderabad function halls, convention centres and farmhouses

In Hyderabad the busiest function hall is often running three calendars at once. Telugu families avoid Ashada and crowd into the Magha and Sravana muhurthams. Muslim families plan nikah and walima around the Islamic calendar, which moves about eleven days earlier every year, so last year's peak weekend is not this year's. And the Gachibowli and HITEC City offices add conferences, award nights and client dinners on weekdays. A hall that forecasts next season from last season's register will misprice at least one of the three. This page is for owners of function halls, convention centres, farmhouses towards Shamshabad and Moinabad, and the caterers whose biryani decides whether the family comes back.

Why last year's dates will mislead your pricing

Ramadan shifts earlier every year, and with it the months when walima and nikah bookings bunch together. A hall that set weekend rates in spring 2026 by copying the 2025 register will find that the busy Muslim wedding weekends have moved, while the Telugu muhurtham dates follow their own lunar logic. The fix is dull but it works: keep the booking history tagged by function type, then look at next year's calendars for each community before publishing a rate card.

Corporate demand cuts across both. Technology and pharma companies book summits and year-end parties between October and March, mostly Monday to Thursday, and they pay by invoice. That weekday trade is what keeps a large convention hall profitable in the months when family demand drops.

Rules and permissions for events in Hyderabad

TopicWhat applies
Excise event permitServing liquor at an event in Telangana needs an event permit from the Prohibition and Excise Department, applied for online and processed through the SHO and the District Prohibition and Excise Officer. The department's dashboard lists over 74,000 applications registered.[4]
GHMC trade licenceIssued under section 521 of the GHMC Act; the fee is ₹3, ₹4 or ₹6 per square foot depending on road width, capped at ₹10,000, ₹50,000 or ₹2 lakh. Eating establishments are inspected by the Assistant Medical Officer of Health.[5]
Excise lawPossession, sale and supply of liquor in the state are governed by the Telangana Excise Act, 1968; the permit, not the family's own purchase, is what makes a function bar lawful.[7]
Loudspeakers after 10 pmAmplified sound on open lawns and farmhouses must stop at 10 pm under the Noise Pollution Rules 2000; closed banquet and community halls are exempt from the night ban.[2]
Caterer FSSAI registrationEvery caterer and in-house kitchen needs FSSAI registration or a licence through FoSCoS. Ask outside caterers for their number before confirming the booking.[3]
GST on functions (state code 36)Food supplied with the hall at an ordinary venue is taxed at 5% without input tax credit (2.5% CGST + 2.5% SGST for Telangana clients); hall rent alone and extras such as décor, lighting and AV are taxed at 18%.[1]

Biryani volume is the real capacity limit

For a 1,200-guest walima, the question is rarely whether the hall fits the guests. It is whether the kitchen, or the outside caterer, can produce enough dum biryani of consistent quality between 7 and 11 pm. Deg counts, rice and meat orders placed days ahead, and the number of serving counters decide how the evening goes. Halls that manage this well record the caterer's committed deg count and meat order in the booking, next to the guest guarantee, so a late jump from 900 to 1,200 guests triggers a supplier call the same day.

Mutton and rice suppliers, many of them long-standing relationships in the old city markets around Begum Bazaar, need firm quantities early in peak weeks. Haleem season during Ramadan pulls the same suppliers in another direction, so build that into your planning.

  • Take the final guest count 72 hours before the walima and bill the higher of guaranteed and actual.
  • Separate family seating and service arrangements where the family asks for it, and plan server numbers for each area.
  • Put the caterer's FSSAI number and deg count on the event sheet, not just in WhatsApp.

How each kind of venue runs in Hyderabad

Function hall
Walima, reception and sangeet nights with very large guest lists and heavy food volume. Some families want separate seating areas, which changes layout and staffing.
Convention centre (Gachibowli, HITEC City, Shamshabad)
Grand receptions on weekends, corporate summits and exhibitions on weekdays, with multi-hall bookings and exclusive-caterer agreements.
Farmhouse
Full-day private events outside the city with generator power, long guest drives and a hard stop for amplified sound on open ground at 10 pm.
Hotel ballroom
Receptions and corporate dinners with in-house catering, room blocks for out-of-town guests and a separate bar permit when liquor is served.
Neighbourhood hall
Engagements, naming ceremonies and birthday functions for smaller groups, booked at short notice and paid in instalments.

Liquor at receptions: the Telangana event permit

Telangana runs event permits for serving liquor through the Prohibition and Excise Department's online system. The department's own dashboard shows more than 74,000 applications registered, with requests processed at the local police station (SHO) and by the District Prohibition and Excise Officer before a permit is issued. News reports on the scheme describe the trigger as serving more than six bottles and list two service slots, 11 am to 4 pm and 7 pm to 11 pm; check the current conditions on the portal when you apply.

For a hall, the practical rule is simple. If a family or corporate client plans a bar, ask for the permit number before the event and keep it with the booking. If an excise team visits during the reception, the person they will want to speak to is the hall manager.

Keep a short checklist for bar events: permit number, serving slot, who is responsible for the bar counter, and the time service stops. It takes two minutes at booking and saves a very uncomfortable conversation at 11 pm.

What the GHMC trade licence costs a function hall

Inside GHMC limits, a trade licence is issued under section 521 of the GHMC Act, and running a listed trade without one invites action under section 622(4). The fee is calculated on the plinth area and the width of the road the premises faces: ₹3 per square foot on a single-lane 20-foot road with a ₹10,000 cap, ₹4 on a 30-foot double-lane road capped at ₹50,000, and ₹6 on roads wider than 30 feet capped at ₹2 lakh. Halls with kitchens fall under eating establishments, inspected by the Assistant Medical Officer of Health.

Most large function halls sit on main roads, so they pay the top band. Put the renewal date in the same calendar as your bookings; an expired licence is an easy target during peak season inspections.

Farmhouses on the Shamshabad and Moinabad side

Farmhouse weddings and sangeets outside the city appeal to families who want open space and a full day without another booking pressing behind them. The operating risks shift with the format: guests drive 45 minutes or more, power comes from generators, and sound on open ground has to stop at 10 pm under the national noise rules unless a state festival relaxation applies. Operators who run these well sell a fixed end time, include generator hours in the quote, and arrange shuttles from a city pickup point.

Corporate summits in HITEC City: quoting fast and billing cleanly

Corporate buyers in Hyderabad ask three venues at once and book whoever sends a clear, itemised quote first. Keep a ready package: hall, AV, lunch and two tea breaks per head, with food at 5% and AV hire at 18% shown separately, and the client's GSTIN and PO number filled in from the enquiry. For new clients, take an advance of 30 to 50% before the date, because vendor-portal payments routinely take more than a month.

Advances and the family phone chain

Hyderabad wedding bookings are often paid by several relatives, in instalments, through UPI transfers and cash. The hall that sends a receipt for every instalment, with the running balance, avoids the classic dispute three days before the wedding when an uncle insists he paid ₹50,000 that nobody recorded. A receipt forwarded into the family WhatsApp group does more for trust than any discount.

Servers, cooks and the one weekend everyone wants

When a popular muhurtham date lands close to a busy walima weekend, every good biryani cook, server team and décor crew in the city is booked twice over. Halls that rely on freelance servers pay double on those nights, or run a 1,000-guest dinner with 25 servers where 40 were needed and hear about it for years.

Confirm server contractors when the advance comes in, not the week before. A useful rule of thumb for a seated or semi-seated dinner is one server for every 20 to 25 guests, plus runners for the biryani counters. Record the contractor, headcount and reporting time on the event sheet so the manager on duty can check attendance at 6 pm and still have time to call for help.

The same goes for your own staff roster. If two functions share a day, a morning nikah and an evening reception, publish separate shift sheets and a clear handover time for the cleaning crew between them.

Questions venue owners in Hyderabad ask

Do I need a permit if guests bring their own liquor to my Hyderabad hall?

Serving liquor at an event in Telangana is covered by the Excise event permit system, applied for online. News reports on the scheme put the threshold at more than six bottles. Ask the family for the permit number before the date and keep it with the booking, because the hall manager is who officials will ask.

How is the GHMC trade licence fee worked out for a function hall?

GHMC calculates it on plinth area and the road width the premises faces: ₹3, ₹4 or ₹6 per square foot for single-lane, double-lane and wider roads, capped at ₹10,000, ₹50,000 and ₹2 lakh respectively. Halls with kitchens are inspected as eating establishments.

How do I plan capacity when Ramadan moves every year?

Tag every past booking by function type, then build next year's forecast from the Islamic and Telugu calendars separately. The walima peak moves about eleven days earlier each year, so a rate card copied from last season will put premium prices on the wrong weekends.

Can a farmhouse event near Shamshabad play music late?

On open ground, amplified sound must stop at 10 pm under the Noise Pollution Rules 2000, unless a state-notified festival relaxation applies. Plan the sangeet programme and the send-off before that time and write the end time into the booking.

What GST applies to a wedding package with biryani included?

When the hall supplies the food as part of the package at an ordinary venue, it is taxed at 5% without input tax credit, shown as 2.5% CGST and 2.5% SGST. Décor, partitions, lighting and valet billed separately are 18%.

Does Kaliquid help with instalment payments from different relatives?

Yes. Each payment is recorded against the booking with the payer's name and method, and a receipt with the running balance can be sent on WhatsApp. The Pro plan is ₹999 per hall per month or ₹750 billed yearly, with a 30-day free trial.
