Booking software for Patna marriage halls, lawns and banquets

Patna's wedding business runs on lagan. A few dozen auspicious dates carry most of the year's revenue, with long quiet stretches between them, and on the big lagan nights every good hall on Bailey Road, Saguna More and the Danapur side is sold, every tent house is out, and every experienced halwai is double-booked. Chhath in October or November takes over the city for several days and weddings pile up right after it. Guests travel in from villages and towns across Bihar, so a 600-guest estimate can become 850 by the time the baraat arrives. And unlike most states, Bihar is dry, which changes what a venue owner is legally responsible for on the night. This page is for owners of marriage halls, wedding lawns and banquets in Patna and the caterers who serve them.

Bihar is dry, and the venue carries the risk

The Bihar Prohibition and Excise Act, 2016 brought complete prohibition of liquor into force in October 2016. What hall owners often underestimate is how the Act treats premises. Section 32(2) says that where any premises is used in the commission of an offence under the Act and is liable to be sealed or confiscated, the owner or occupier is deemed guilty of that offence unless they satisfy the court that it happened without their knowledge or that they exercised due care to prevent it. Section 62 lets an excise or police officer seal premises where liquor is found or which are used for an offence, and report it to the Collector.

In plain terms: if guests bring liquor to your hall and it is found, the hall itself is at risk, and your defence is that you took care to stop it. So take care, visibly. Put a no-liquor clause in every booking agreement, have the family sign it, brief your security and staff, and put up notices. Keep the signed clause with the booking record. It is the document you will want if anything goes wrong.

  • Add a signed no-liquor undertaking to every booking, including small functions.
  • Brief gate staff for baraat arrivals, when the risk is highest.
  • Record the undertaking and staff briefing against the booking so it can be shown later.

Lagan dates: why one double booking costs a season

Because the wedding year in Patna is concentrated into a limited number of lagan dates, a hall cannot recover a lost booking by selling another weekend. If the register shows a date free and two managers each take an advance for it, one family has to be refunded and sent elsewhere, and on a peak lagan night there is nowhere else. The reputational damage lasts well beyond that season, because families talk.

The simplest protection is one calendar that every person taking bookings can see, with tentative holds that expire and a confirmation only when the advance is received. Paper registers kept at the counter fail precisely on the nights when three families visit within an hour.

How each kind of venue runs in Patna

Marriage hall (Bailey Road, Boring Road, Kankarbagh)
Large weddings and receptions concentrated on lagan dates, with volatile guest counts and a strict no-liquor duty on the owner.
Wedding lawn (Danapur, Saguna More)
Baraat arrivals, open-air dinners and large seating, with tent-house logistics and monsoon waterlogging as the main risks.
Banquet and hotel halls
Receptions, tilak and engagement functions with in-house catering and air-conditioned space for summer dates.
Community halls
Smaller family functions booked by associations and neighbourhood committees, often at short notice.

Planning for 600 that becomes 850

Guest counts at Patna weddings move a lot, because relatives from other districts decide late, and baraat numbers are estimates until the procession arrives. Halls that price well write the numbers into the contract: a guaranteed minimum, a per-plate rate for guests above it, and a point at which the family must confirm the final figure. Bill the higher of guaranteed and actual, and count plates at the counter.

Seating and food quantities should flex with the contract. A tent house or seating vendor on standby for an extra 100 chairs, and a halwai who has agreed extra puri and sabzi capacity, are cheaper than an angry family and a half-empty counter at 11 pm.

After Chhath: the three weeks that decide your year

Chhath, in October or November, pauses most wedding activity in Patna for several days as families head to the ghats. The lagan dates that follow are among the busiest of the year, and many families wait until Chhath is over before confirming details they have been discussing for months. The result is a wave of final-count changes, menu edits and balance payments in a short window.

Prepare for that wave before Chhath starts. Send every family booked in the following three weeks a summary of what is confirmed, what is still open, and the date by which the final guest count is due. When the calls come after the festival, your team works from one list instead of a stack of register pages and memory.

Staff leave matters too. Many of your own cooks and servers will observe Chhath, so plan rosters for the first post-Chhath lagan nights well in advance and confirm who is back and when.

Monsoon, waterlogging and lawn events

Patna's rainy months bring waterlogging in several neighbourhoods, and lawn venues suffer most. Operators who have been through it build covered walkways, keep a shamiana contractor on call, and agree an alternate plan with families before the date. For events in the monsoon and the weeks after it, add a clause on what happens if access roads flood and how the advance is treated. Families accept a clear clause at booking far more easily than a surprise.

Halwais, tent houses and staff on peak nights

Traditional Bihari menus lean on experienced cooks and halwais, and on the busiest lagan nights they are the scarcest resource in the city. Venues with a reliable team lock them in when the family pays the advance, not a week before. The same goes for tent houses supplying shamianas, chairs and lighting for lawn weddings; the big ones commit their stock months ahead.

Write the cook's name, team size and reporting time, and the tent house's delivery and pickup times, into the booking. When the manager on duty checks at 5 pm and finds the cooks have not arrived, they need a name and a number, not a memory of who was spoken to in September.

Advances, cash and clean receipts

Much of the money in a Patna wedding still moves in instalments from different relatives, part UPI, part bank transfer, part cash. Every instalment should get a numbered receipt showing the running balance, sent to the family on WhatsApp the same day. Keep cash receipts per event under the ₹2 lakh limit that income-tax law places on cash received from one person in a day or for one event, and move larger sums to bank transfer. It keeps the hall on the right side of the law and ends the familiar settlement-day argument about who paid what.

Licences and taxes a Patna hall owner keeps current

Halls inside Patna Municipal Corporation limits hold a PMC trade licence, which can be renewed online through the corporation's licensing section. Bihar also levies professional tax under the Bihar Tax on Professions, Trades, Callings and Employments Act, 2011, collected by the Commercial Taxes Department. Put renewal and payment dates on the same calendar as bookings so they are not forgotten during the lagan rush.

Questions venue owners in Patna ask

What happens to a Patna hall if guests bring liquor to a wedding?

Under section 62 of the Bihar Prohibition and Excise Act, officers who find liquor at premises may seal them and report to the Collector. Section 32(2) deems the owner or occupier guilty unless they show it happened without their knowledge or that they took due care, so a signed no-liquor clause and briefed staff matter.

How should a Patna hall handle guest counts that keep rising?

Write a guaranteed minimum, a per-plate rate above it and a final-count date into the contract, then bill the higher of guaranteed and actual. Keep a tent house and halwai on standby for extra seats and food on peak lagan nights.

Can music continue after 10 pm at a lawn wedding in Patna?

Not amplified sound in the open. Under the Noise Pollution Rules 2000, loudspeakers are not allowed between 10 pm and 6 am except in closed premises such as banquet and community halls. Plan the baraat and DJ timings to finish before then.

What GST should a Patna marriage hall charge?

When the hall supplies the food as part of the package at an ordinary venue, it is 5% without input tax credit, shown as 2.5% CGST and 2.5% SGST. Hall rent without food is 18%, and décor, tenting and generator hire billed separately are 18% too.

How do I avoid disputes over advances paid by different relatives?

Issue a numbered receipt for every instalment with the payer's name, method and running balance, and send it to the family on WhatsApp the same day. Keep cash from one person for one event under ₹2 lakh and ask for bank transfer for larger sums.
