Six problems a lawn has that an indoor hall does not

A banquet hall controls its own roof, its own walls and its own power. A lawn controls none of them. The software that suits it has to handle the weather, the noise curfew, the generator and a stream of outside vendors.

What an open lawn asks of a manager that an indoor hall does not

Three things separate a lawn from a hall, and each arrives on the day whether you planned for it or not. The sky changes the plan. The sound is bound by a legal curfew and by the neighbours. The power comes from a generator that burns diesel by the hour. A good lawn manager treats these as line items on the quote and steps in a checklist, not as surprises on a Saturday evening with 500 guests on the grass.

Start with sound, since that is the one that ends events. Under the Noise Pollution (Regulation and Control) Rules, 2000, loudspeakers and public address systems are not to be used between 10 pm and 6 am, except in closed premises such as auditoria, conference rooms, community halls and banquet halls. A state government may allow use until midnight on festive or cultural occasions for no more than 15 days in a calendar year. An open lawn is not closed premises. At the boundary of a public place, noise may not exceed the area's ambient limit by more than 10 dB or 75 dB, whichever is lower, and residential ambient limits are 55 dB by day and 45 dB by night. Plan a 10 pm stop unless your state has given you more, and put that time in the DJ's contract.

Now power. A generator set burns roughly 0.2 litres of diesel per kVA per hour at full load, and less at part load. Manufacturer-style charts put a 125 kVA set at about 25 litres an hour at full load and 19 at 75%. Run one set at 75% load for nine hours, testing, event and teardown, and you burn about 171 litres. At an assumed Rs 90 a litre, which you should replace with today's price, that is Rs 15,390, or Rs 1,710 an hour. A 250 kVA set at 50% burns about 26 litres an hour, and a 62.5 kVA set at full load about 12.5. These are planning figures, so use your own set's datasheet. Write the diesel rate into the contract and reconcile with a tank dip afterwards: in the workbook, 182 litres were actually used against an estimate of 171, a gap of about 6%. A gap of 40% would mean you should look at the load, the set or the tank.

Weather is a decision, and decisions are cheaper when they are made early. Set four points in the plan: 72 hours before, when you check two forecasts and warn the family and the decorator; 48 hours before, when you book extra canopy over the walkways; 24 hours before, when you look at drainage and lay ground mats; and six hours before, when you move to the covered hall if the radar says so. In the sample, the actions cost Rs 25,000, Rs 18,000 and Rs 40,000, which is Rs 83,000 if everything triggers. Quote the rain plan with the event. Say who pays for tent hire and for a move indoors, because a family that learns about a Rs 40,000 charge on the afternoon will not be gracious about it.

Outside vendors are the third crowd. Decorators dig pits for mandaps, drive nails into gazebos and drag equipment across turf. Take a refundable deposit, say Rs 50,000, and write the rules on a page: load-in time, no pits without permission, no nails, all rubbish cleared. At the end, list each deduction with a before and after photo. In the workbook, turf repair of Rs 6,500, two broken pole lights at Rs 4,200 and nail holes at Rs 1,800 are deducted, while Rs 3,000 of cleaning is dropped because there is no evidence, so the refund is Rs 37,500. Deductions should track real loss. Courts read forfeiture clauses against section 74 of the Indian Contract Act, which allows reasonable compensation and not a penalty.

Parking is the quiet limit on a lawn's guest count. Take 500 guests, with 60% arriving by car at 3.5 a car and 15% on two-wheelers at 1.3 each. That is 86 cars and 58 two-wheelers. With 85% of them present at the same hour, and assuming 25 sq m a car and 3 sq m a two-wheeler including lanes, the peak needs about 1,976 sq m and two marshals at one for every 50 cars. Those area figures are assumptions. Mark one bay and one lane on your own ground and measure them. If the space is short, options include a second field on a short lease, a shuttle from a nearby lot, valet with a fixed drop point or a lower guest cap. Decide before you sell the date.

Last, permissions. Requirements vary by city, and the usual names are the local body for events on open ground, the police for the event and loudspeakers, the fire office for tents and cooking areas, FSSAI for the caterer's kitchen, the state excise department if alcohol is served and PPL and IPRS for music licences. The workbook lists each with a latest safe date counted back from the event, so nothing waits until the week of the wedding. If you host a dozen events a year, a paper file may do.
