What a venue management system is, and how the parts must connect
A venue management system is the set of records and rules a venue uses to sell, run and bill its spaces. The word 'system' matters more than the word 'software'. Software is a tool you open. A system is what stays true when 3 people, 2 halls and 40 events in a month all touch the same data. If a booking can exist on the calendar without an invoice, or an invoice without a calendar entry, you do not have a system. You have two lists that happen to be kept by the same staff, and the gap between them is where money and dates go missing.
Event managers often use a 5-stage model: research, design, planning, coordination and evaluation, usually credited to Joe Goldblatt. Map it onto a venue and it becomes practical. Research is the enquiry and the site visit. Design is the quote and the menu. Planning is the confirmed booking, the advance and the vendor list. Coordination is the event day. Evaluation is the final bill, the damage check and what you learn for next season. A second checklist you will meet is the 5 Cs: concept, coordination, control, culmination and closeout. Either way, a good system has a place for the output of every stage, and evaluation is the stage where most venues keep nothing at all.
Start with the record. The free workbook lists 16 fields that a booking must carry, from hall and session to the final invoice number. The set-up window is the one people forget: a decorator who needs the hall from 2 pm blocks it as surely as the guests do. Guaranteed and expected guests are the other pair. A family that guarantees 300 and turns up with 340 has created two different bills, and if only one number is stored, someone argues about the other at the counter. Quote versions belong here too. When a family says you told them ₹1,150 a plate, version 3 of the quote settles it in ten seconds.
Follow one booking through the money. A family pays ₹1,00,000 by UPI to hold 21 November. GST on a service advance falls due when the money is received, so that payment needs a proper advance voucher, not a screenshot. On the day, extra plates and two hours of extra air conditioning are added. The final invoice carries the hall and food package at 5% with no input credit, the decor line at 18% and the utility line at 18%, and the ₹1,00,000 is adjusted against the total. If the client cancels, a refund voucher is raised instead of editing the invoice. A system does all of that from one booking. If any step needs a second spreadsheet, that step is where the mistakes will be.
Permissions are the least glamorous part and the one owners regret skipping. Give each person only the data the job needs. The free workbook has a 13-row permission matrix with a check that flags any sensitive row, such as owner margin, bank ledger or staff salaries, that more than two roles can see. A sales executive who can read your margin will one day use it against you in a negotiation, and a sales executive who leaves takes whatever they could see. Once a month, count the same thing from two places. Events on the calendar against invoices raised. Invoices against vouchers posted in Tally. Advances on receipts against advances in the bank statement. If the counts differ by even one, find the difference before closing the month. In the sample sheet, 62 events and 60 invoices mean two events were never billed, and at an average of ₹4.5 lakh a booking that is worth finding on the first of the month, not in March. A system makes the check take ten minutes. A pile of spreadsheets makes it take a weekend, and most owners skip it, which is how a few lakh rupees quietly disappear each year.
