Search for hotel software and every vendor claims to do everything. In practice the category splits into four jobs, and most products are strong at one or two. The property management system, or PMS, holds room inventory, rates, reservations, check-in, check-out and the guest folio. A point-of-sale covers the restaurant and room service. A channel manager and booking engine push your rooms to OTAs and sell them on your own website. Banquet or event software runs the function spaces, with menus, holds and advances. A 12-room guest house in Rishikesh needs the first job and maybe the third. A 60-room hotel in Jaipur with a 400-guest ballroom needs all four, and the fourth is where standard PMS products tend to be thinnest. Read each vendor's module list against these four jobs before you compare a single price.

Buy in the order that stops the most money leaking. For most small hotels that means billing and the front desk first, because a wrong GST rate or a lost folio costs cash on the day. Distribution comes second: a channel manager pays for itself once double bookings or manual OTA updates start costing you a night a week. The restaurant POS follows if food is more than breakfast. Banquet software moves to the front of the queue when function spaces carry a large share of revenue. A hotel that sells 90 wedding dates a year at an average of ₹6 lakh has a ₹5.4 crore banquet line, and one double-booked November Saturday can cost more than a year of software. Do that arithmetic with your own numbers before you book any demo.

Published prices are scarce, so treat what follows as orientation. Third-party listings in September 2026 put Hotelogix at about ₹250 to ₹599 per room per month with a minimum monthly bill from around ₹4,250, and eZee Absolute from about ₹2,250 a month. A roundup of independent-hotel systems published in August 2026 puts most annual costs between ₹25,000 and ₹1.2 lakh. Take a 30-room hotel at a mid-tier ₹350 per room. That is ₹10,500 a month, or ₹1,26,000 a year, before add-ons, GST, setup and yearly price rises. Add a ₹1,500 monthly channel manager plus ₹20,000 of setup and training, and the first year lands near ₹1.64 lakh. That figure comes from the example inputs in the workbook on this page, and it is not a quote. Ask every vendor for a written price that says whether GST is included.

People often ask what the large chains run, and the answers keep changing, so read them as snapshots. Oracle sells OPERA Cloud to hotel groups worldwide. Hilton announced in 2023 that it would move its hotels onto a cloud PMS built with HotelKey, and Marriott has been moving selected hotels to an Agilysys-based system since a 2022 agreement covering the United States and Canada. We could not find a public statement of which PMS Taj hotels use, so we will not guess. None of this tells a 25-room independent what to buy. Chain systems come with brand standards and central reservations built for hundreds of properties. A single hotel needs something its own night auditor can learn in a week, with Indian GST rules already built in.

The gap between a room PMS and a wedding calendar is where hotels lose money quietly. A PMS thinks in room nights: a room is sold or it is not, from noon to noon. A ballroom is sold by the function. Lunch and dinner are separate sales on one hall, food is priced per plate, the advance arrives in three instalments, and a client may bring a decorator whose electricity you need to meter. Some PMS products include an event module, and you should test theirs before assuming it falls short. The test takes five minutes. Book the morning session, book the evening session, then try a third function that overlaps the first. If the system lets the third one through, you have found the gap. Run every demo from the same script. Ask the vendor to bill one room at ₹6,800 and one at ₹9,500 and read the printed GST: the first should show 5% with no input credit, the second 18%. Ask for a 300-plate banquet invoice with a decor line and check that the two lines carry different rates. Ask what a foreign guest's Form C filing looks like, since hotel-compliance guides say it is due within 24 hours of arrival. Ask for a sample data export and the notice period to leave.
