What a settlement receipt must carry

  • Quote the invoice number and date so the receipt cannot be reused against another bill
  • List every earlier receipt or voucher that reduced the balance
  • State the reference of this payment: UTR, UPI reference or cheque number
  • Write 'settled in full' only after the money has cleared, not when a cheque is handed over
  • Do not add a fresh GST line, because the invoice already carries the tax
  • Keep receipts in one series and invoices and vouchers in their own

Receipt, invoice, voucher or acknowledgement: which one, and when

These four get used as if they meant the same thing, and they do not. An invoice records a sale and carries the tax. A receipt records that money arrived. A voucher is a receipt with tax attached: the receipt voucher when an advance is taken and the refund voucher when it goes back. An acknowledgement confirms that something was received, such as a cheque, a document or a deposit, without saying anything is settled. A venue that blurs them ends up with a receipt pretending to be an invoice, or an invoice nobody paid, and its accountant spends the last week of March untangling ₹2,36,000 jobs.

Follow one décor job through the year and you see five documents, only three of which are receipts. A quotation on 3 August for ₹2,36,000, being ₹2,00,000 plus 18% GST. An advance of ₹59,000 on 18 August, which needs a receipt voucher because ₹9,000 of that is tax. The event on 12 September. A tax invoice on 14 September, inside the 30 days a service invoice is allowed. A final payment of ₹1,77,000 on 20 September, which gets the payment receipt above. Each paper answers a different question, and none can stand in for another.

The sample shows ₹36,000 of GST for reference and adds none. Tax was charged on the invoice, and ₹9,000 of it was paid back in August when the advance came in. Adding another 18% at settlement is the commonest way a receipt goes wrong. The customer sees ₹2,36,000 plus ₹36,000 again, or the accountant reports the same tax twice in GSTR-1. A payment receipt has no tax line of its own. It has a reference to the document that does.

Vouchers have their own rules, which is why they are not just receipts with a fancy name. A receipt voucher is issued under Section 31(3)(d) of the CGST Act when a registered person takes an advance, and Rule 50 lists what it must contain, including a serial number of up to 16 characters. If the event is cancelled and the advance goes back, a refund voucher under Rule 51 quotes the original voucher number and the tax reversed. Give each series its own prefix, for example RV for receipt vouchers and RF for refund vouchers, so numbers never overlap.

An acknowledgement is what you hand over when money has not fully changed hands or the thing received is not money at all: a cheque for ₹1,00,000 dated 20 October, a signed contract, a ₹25,000 refundable security deposit. Write 'subject to realisation' next to any cheque. A cheque is valid for 3 months from the date written on it, so one dated 20 May and presented on 25 September is stale and the bank will return it. Never mark an invoice settled against a cheque that has not cleared.

If you are not GST-registered, the map shrinks. A business below the registration threshold, or a composition dealer, issues a bill or a bill of supply in place of a tax invoice, and gives ordinary receipts for payments. There is no receipt voucher because there is no tax to record. No single legal format exists for a receipt. In practice it carries a serial number, the date, the payer and receiver, the amount in figures and words, what the payment is for, the mode with its reference, the balance if it is a part payment, and the receiver's signature.
