Six parts of a wedding that ordinary booking tools handle badly

A single-day corporate hire is easy to book. A wedding is five functions, three vendors on the lawn at once and a guest list that is never final. These are the parts to test in a demo.

One booking, many functions

Mehndi, haldi, sangeet, wedding and reception sit as separate lines inside one booking, each with its own hall, slot and guest count.

How a five-function wedding looks from the venue's side

Begin with the calendar the whole business lives on. CAIT projected about 46 lakh weddings between 1 November and 14 December 2025, roughly six weeks, with Delhi alone expecting 4.8 lakh. Whatever the exact figure in a given year, most Indian wedding halls earn a large share of their annual revenue in a handful of weeks set by the auspicious dates. That compresses everything. Two families want the same Saturday. Say the morning slot ends at 2 pm and the evening slot starts at 4, so the decorators for one function are pulling the stage down while the next are carrying flowers in. A calendar has to know about slots, not only dates.

Now stretch that across a weekend. Take the sample in the workbook on this page: a Mehndi on the lawn on 3 December, a Haldi in the mini hall and a Sangeet in the grand hall on 4 December, the Wedding on the lawn on 5 December and a Reception in the grand hall on 6 December. Billed guests are 260, 110, 420, 480 and 430. Hall and food come to Rs 27.59 lakh as a package. Decor, sound and stage supplied by the venue add Rs 11.05 lakh. GST is Rs 3.37 lakh and the invoice totals Rs 42.0 lakh. Those are invented figures for an imaginary venue, but the shape is real: five functions, one family, one contract, one balance.

The tax split is the part families never ask about and accountants always do. At an ordinary venue, food or a hall-and-food package is taxed at 5% without input tax credit, split into 2.5% CGST and 2.5% SGST. Extras the venue supplies as separate services, such as decor, sound and stage, carry 18%. That works out to Rs 1,37,950 on the package and Rs 1,98,900 on the extras. If the family brings its own caterer, the venue bills only hall rent at 18%, and the same weekend falls to Rs 21.3 lakh because the food is not the venue's revenue. Certain hotel premises are treated as specified premises with different rates, so check your own status with your CA before you print an invoice.

Guest counts are where weddings turn into arguments. The family contracts 400 for the Sangeet, then says 420 on the Tuesday of the week, and on the day 450 arrive. Write the rule into the contract before anyone signs: a minimum guarantee, say 90% of the contracted count, so a drop below that does not cut the bill, and a lock date, say three days before, after which the kitchen cooks for the locked number. Twenty extra guests at Rs 1,200 a plate is Rs 24,000 of food plus Rs 1,200 of tax in the workbook. On the Haldi, 10 fewer guests saves Rs 7,000 because the count was 120 and the guarantee is 108.

The payment schedule should be as boring as a bus timetable. Our sample family pays 25% on booking, 25% two months before, 30% fifteen days before and 20% three days before, after the final counts. Dates count back from the wedding date, so moving the wedding moves every instalment. Each payment is a receipt voucher, and because GST on an advance for a service falls due when the money arrives, the voucher carries the tax. Watch cash. The Income-tax Act bars receiving Rs 2 lakh or more in cash for a single event or occasion, under the rule long known as section 269ST, which the Income-tax Act 2025 carries forward. Ask for UPI, cheque or a bank transfer, and record the mode each time.

Vendors are the third crowd on the lawn. The decorator arrives at 7 in the morning with a truck, the sound company needs 30 kW, the florist needs a service gate, the baraat horse waits at the front drive. The vendors in the workbook ask for 69 kW against 60 kW available, which is a fault you want to find on Tuesday and not at 6 pm on Saturday. Brief each vendor in writing on arrival time, load-in route, power limit and deposit, and record whether they confirmed. It takes ten minutes and prevents the conversations that end friendships between families and venues.

What software cannot do is decide the muhurat, soothe a mother-in-law or make a single hall with 30 weddings a year need it. If that describes you, a paper register and WhatsApp may serve you well, and the comparison table below says where that setup wins. Software pays back on multi-function weekends, on two or more halls, on in-house catering where the guest count drives the kitchen, and on any venue where the owner cannot be at every booking call.
