Start with what you are actually booking

Almost every "booking software" page mixes five different products. Name the thing you sell and the category picks itself.

Appointment schedulers

Calendly, Zoho Bookings, SimplyBook.me. They book a person's time: a call, a tasting, a site visit. Cheap, fast to set up, blind to halls and GST.

Ticketing platforms

Townscript, Eventbrite, Zoho Backstage. They sell seats to an event you already scheduled, and take a fee on each ticket.

Venue and banquet software

Kaliquid, Planning Pod, Tripleseat. They hold a hall by date and slot, run holds and advances, and issue the invoice.

Planner and CRM suites

Zoho CRM, HubSpot, Cvent, Whova. They manage leads, vendors, budgets and attendees. The wedding calendar and advance receipts usually need workarounds.

Spreadsheet plus WhatsApp

Free and familiar. Fine below about five bookings a month if one person owns it and clash checks are built in.

How to choose the right kind of booking software

Ask one question first: what am I booking? A person's time, a seat, a space, a supplier or a plan? A person's time is an appointment, and a scheduler is built for it. A seat at a public show is a ticket. A space by date and slot, with a food package and a payment schedule, is a venue booking. A supplier or a plan is planner territory. Most bad purchases come from buying a good tool for the wrong one of these. A Rs 800 seat at a concert and a Rs 6,30,000 wedding hall both get 'booked', yet a photographer's booking app and a banquet's booking system share a word and almost nothing else.

People ask whether the free tools are enough, so here is what each free plan gives, as read in September 2026. Zoho Bookings has a forever-free plan for one user and one workspace with calendar sync and reminders. SimplyBook.me is free for up to 50 bookings a month with one custom feature, and its paid plans run EUR 11.90, 24.90 and 49.90 a month when billed yearly. Zoho Backstage is free for up to 100 attendees per event. Third-party summaries say Calendly's free plan allows one active event type and that payments need a paid plan, so check calendly.com. All four are good at what they do. None holds a hall by slot, and none issues a GST invoice for a hall-and-food package.

A short decision tree does most of the work. If people buy tickets or register, use a ticketing platform. If the thing sold is a hall or lawn by date and slot, with advances and a food package, use a venue system. If it is a call or an appointment, use a scheduler. If you plan for clients across vendors and budgets, look at a planner suite. If you take fewer than 5 bookings a month, a spreadsheet may do. Cost differs by category, and the units differ too. Zoho Bookings paid plans are about USD 6 and USD 9 per user per month according to third-party listings, roughly Rs 576 and Rs 864 at Rs 96 to the dollar. Townscript charges per ticket: 2% plus a 1.99% gateway fee with GST on the fees, on a support page last modified in September 2023. Planning Pod lists venue plans from about USD 149 a month, about Rs 14,300. Cvent and Whova quote by contract or event. Kaliquid Pro is Rs 999 per hall per month, or Rs 750 per hall per month billed yearly, with Enterprise on quote. A scheduler charged per user and a venue system charged per hall cannot be compared without your own numbers, which is what the cost sheet in our demo scorecard is for.

Plenty of venues end up with 2 tools, and that is fine if one of them is the calendar of record. A common pattern is a scheduler for tasting and site-visit slots and a venue system for the hall calendar. The trap is two calendars that both claim to know which dates are free. Pick one place where a date becomes reserved, and make everything else feed it. If a family books a Saturday 20 February 2027 tasting at 4 pm through the scheduler, the hall calendar should not need updating. If they book the hall, it must be recorded in one place before anyone says yes on the phone.

A spreadsheet is a legitimate answer for a small venue. It is free and every staff member can read it. It stops working at predictable points. Two people edit at once and one overwrites the other. Nothing warns you when Saturday evening is booked twice. Advance receipts of Rs 50,000 and Rs 1,89,000 live in a notebook. The owner is the only person who knows which of the 8 open holds have lapsed. If you see 2 of these in a month, move to a system.
