What event booking software has to do for a private event

Two very different things are called event booking. One sells tickets to a public show you have already scheduled. The other sells a date on a hall to one family or one company. Ticketing platforms take a slice of every ticket: Townscript's support page, last modified in September 2023, lists a 2% platform fee plus a 1.99% gateway fee with GST on the fees, so 300 tickets at Rs 500 (Rs 1,50,000 of sales) cost Rs 7,062.30 in fees, about 4.7%. Eventbrite's pricing page lists a US rate of 3.7% plus USD 1.79 a ticket and 2.9% per order, and does not list India. A wedding booking has no tickets. It is one booking of Rs 6,30,000, and what matters is the calendar, the quote and the advance.

Here is the funnel with sample numbers, which you should replace with your own. Forty enquiries a month. Ninety percent get a real reply, which is 36. Forty percent of those visit, 14.4. Sixty percent of visitors take a tentative hold, 8.6, and 65% of holds pay the token, which gives 5.6 bookings. At an average of Rs 3,50,000 before GST that is about Rs 19.7 lakh a month. Now lift each step a little: 96% replied, 44% visit, 63% hold, 68% pay. That is 7.2 bookings, or 1.6 more, worth about Rs 5.7 lakh in extra revenue and Rs 1.7 lakh in contribution at a 30% margin. Software at Rs 750 to Rs 999 a hall a month is small next to one extra booking. These are sample rates, not benchmarks, and the calculator on this page takes yours.

Enquiries arrive through more than one door. A phone call, a WhatsApp message, a walk-in, a website form, a cousin's referral. An online booking form covers one door of five, so do not build the whole process around it. Speed matters more than the form. Reply within five minutes with the two nearest free dates for their guest count and one question, and you are already ahead of most halls that say 'we will call you back'. Kaliquid's CRM pages describe a five-minute response target and WhatsApp proposals in about 30 seconds; whatever tool you use, measure your own reply time for a month before you decide it is fine.

The quote should be one page: hall, food package and extras, tax lines separate, and the time it stays valid. Rs 6,00,000 for the hall-and-food package at 5% and Rs 1,00,000 of decor at 18% comes to Rs 7,48,000 with Rs 48,000 of GST. Then the hold, then the token. Payment mode changes what you keep. From 15 October 2026 the government-announced UPI MDR of 0.4% applies to merchant payments above Rs 2,000, capped at Rs 300 a payment, so a Rs 25,000 token costs Rs 100, Rs 50,000 costs Rs 200, and anything from Rs 75,000 up costs Rs 300. Small merchants receiving up to Rs 1 lakh a month through UPI QR into their own account stay at zero. Bank transfer has no MDR. Cash of Rs 2 lakh or more in a day, per transaction or for one event is not allowed.

A follow-up plan written down beats good intentions. Day 0: reply with two dates. Same day: send the quote. Day 1: offer a visit and a 48 hour hold. Day 3: chase visitors who did not hold. Around hour 40 of a hold: remind them it ends tonight. Day 7: ask what is stopping them and offer a call. Day 14: release the date and record the reason lost. Fourteen days is a long time for a family choosing between three halls, so most of your wins come from days 0 to 3. The calculator includes this plan with sample WhatsApp wording you can edit.

Where does Kaliquid fit?
