How to use an event planning template: stages, budget, timeline and run of show

Planning models disagree about names and agree about order. The 5 C's version runs concept, coordination, control, culmination and closeout. Other lists stretch it to seven stages by splitting out research, budget and evaluation, which is why the question 'what are the 7 stages of event planning' gets several answers. For a working plan the names matter less than what each stage produces. Concept produces a date and a venue. Coordination produces the budget and the vendor list. Control produces a timeline that people update. Culmination produces a run of show. Closeout produces settled bills and notes for next time. The four tabs of the workbook map onto those outputs, in that order.

Budget the plan ex-GST, then add tax per category, because the vendors will. In the sample the categories add up to ₹13,40,000. GST is ₹1,82,050 on top: ₹27,000 at 18 percent on venue rent, ₹22,750 at 5 percent on the outside caterer's food, and ₹1,32,300 at 18 percent on decor, sound, media, performers and logistics. Together it makes up 11.3 percent of the final ₹16,15,850, and a plan that ignores it starts the project short by more than one large vendor's fee. The shape of the spend is useful too. Catering is 34 percent of the pre-tax plan, decor 24 percent and venue 11 percent, so a 10 percent slip in catering costs ₹45,500 before tax, nearly all the reserve that is left in the example below.

A contingency reserve only works if you can see it shrinking. Seven percent of ₹13,40,000 is ₹93,800. Now suppose the decor designer's final quote comes in at ₹3,68,000 instead of ₹3,20,000. The gap is ₹48,000 over plan, and the Budget Tracker reads it as 51.2 percent of the reserve gone at T-56, with ₹45,800 left for everything that has not happened yet. With tax, committed spend is ₹15,78,690 against a planned ₹15,22,050, so the client needs to know the plan is ₹56,640 over before they see the invoice. Track the overspend ex-GST against the reserve, and give the client the with-tax figure.

Count back from the event date and the calendar builds itself. Twelve weeks is 84 days, which for 12 December 2026 puts the date and venue lock on 19 September. The caterer is chosen by 3 October, the decor design is frozen by 17 October and performers are contracted by 31 October. The first guest-count lock falls on 14 November, the final count and seating on 28 November, and the run of show is frozen on 5 December. Change the event date in the Timeline tab and every due date moves, and a step that is not marked done after its date shows OVERDUE. The order matters more than the exact spacing: per-head decisions come after the count, and the count comes after invitations.

The run of show is a different document from the plan, and it earns its own tab. Each row has a start time, a duration, a segment, an owner, a location and a cue. Add a call time for every vendor, because a call time and a start time are not the same thing. In the sample the decor crew is called at 14:00 for doors at 18:30, a gap of 4 hours 30 minutes. If they arrive at 16:00 instead, the sound check has to compress or the doors open late. Guides used by production teams suggest drafting the run of show six to eight weeks out, adding detail at three to four weeks, and freezing it after the walk-through about a week before. The Word file is the printable version for the stage manager.

Money moves on a schedule too. By T-56 the sample shows ₹3,62,097 paid out of ₹15,78,690 committed, which leaves ₹12,16,593 due before or after the event. Put the vendor payment terms next to the call times on the Vendors tab, because both decide what happens in the final fortnight. A decor company that wants 40 percent at booking, 40 percent at T-14 and 20 percent on completion has a cash need on 28 November that the client must be told about on 14 November. Sixty percent of ₹4,34,240 is ₹2,60,544 by that date. Tax on advances falls due when the vendor receives the money, so each vendor should issue a voucher against every instalment.

This is how a plan usually fails. The anchor's entry cue is on the run sheet, but the row has no owner. On the night the LED operator waits for the audio lead, who waits for the anchor, and the couple's entry starts 12 minutes late. Dinner service was timed for 20:00, so 350 guests stand in a queue with the first counters going cold. Nothing in the budget was wrong. One empty cell on the sheet was the cause. The checklist insists on one named owner per segment for this reason, and why the last rule on the printed sheet says a cue with no owner does not happen.

Excel or Google Sheets? Upload the workbook to Sheets and the formulas, the drop-downs and the overdue flag keep working, and a whole planning team can edit the same file. Keep one person responsible for the run of show tab and lock the budget tab to two. Use the Word file for anything printed: stage manager, caterer captain and security should each hold a paper copy on the day, because phone batteries and signal are the two things a lawn never guarantees.
