What a venue that sells weddings and corporate days needs from its software

Weekday meetings and weekend weddings on one calendar

Running weddings and corporate events from the same halls
A wedding family and a company want opposite things. The family books once, pays in three instalments, decides with the whole household and cares about the date on the panchang. The company books for a Tuesday, sends a purchase order, wants a GST invoice in its own name with the right GSTIN, deducts tax at source and pays on its own cycle. A venue that treats both alike pays for it in slow money and messy bills. This page is about the second customer, because the first is what your calendar already handles.
Corporate events fill the quiet months. In 2026, Chaturmas runs from 25 July to 20 November, and the panchang sources we read in September show wedding muhurats resuming after Dev Uthani Ekadashi on 20 November and closing again on 16 December, when Kharmas begins. That leaves close to four months where a hall that depends on weddings sits empty on weekdays and weekends alike. A one-day conference for 200 delegates at ₹1,400 a head is ₹2,80,000 of food plus ₹1,20,000 of hall rent. That is a real weekday, not a filler, and a company that likes the day will book its next one without shopping around.
Price a corporate day two ways and the tax changes. If the venue supplies the food along with the hall, the package is one supply at 5% with no input credit at an ordinary venue, and AV or stage work billed as its own service is 18%. If the client brings its own caterer and takes only the hall, hire is 18%. On the sample quote in the download, a package of ₹1,20,000 hall and ₹2,80,000 food plus ₹40,000 of AV comes to ₹4,67,200 including ₹27,200 of GST. The same hall hired alone, with the same AV, comes to ₹1,88,800 including ₹28,800 of GST. Splitting one invoice to reach the lower rate is not allowed. The bill follows what you actually supplied, and at specified premises such as larger hotels the food rate differs.
Then the client's accounts team deducts tax at source, and you receive less than the invoice. The sources we read put rent of a building under section 194-I at 10%, with the threshold at ₹50,000 of rent a month since April 2025. A contract for services, such as a package that includes food, falls under section 194C at 1% for an individual or HUF and 2% for others, above ₹30,000 for a single payment or ₹1 lakh in a year. Practitioners disagree on a single hall-plus-food invoice, and some corporates split it. TDS is taken on the value before GST when GST is shown separately. On the package example, 2% of ₹4,40,000 is ₹8,800, so you receive ₹4,58,400. On the hall-only example, 10% of ₹1,20,000 is ₹12,000 and 2% of the ₹40,000 AV is ₹800, so you receive ₹1,76,000. The new Income-tax Act renumbers sections from 1 April 2026, so your CA may quote different numbers for the same rule. Ask the client which section their team will use before you invoice, and put it on the PO.
Corporate money is slow money. If your venue holds an Udyam registration as a micro or small enterprise, section 43B(h) works in your favour: a buyer that has not paid within the agreed period, capped at 45 days with a written agreement or 15 days without one, cannot claim the expense as a deduction until it pays. Many accounts teams know this and pay registered vendors on time. Since the April 2025 revision, an enterprise counts as micro up to ₹2.5 crore of investment and ₹10 crore of turnover, and as small up to ₹25 crore and ₹100 crore, and service businesses such as banquet halls can register. Put the 45-day cap in a written agreement, put the PO number on the invoice, and use the tracker in the workbook to see who is late today. Confirm the current rules with your CA.
Weekday events run to a different clock. Delegates arrive at 9, tea is at 10:30, lunch at 1, and the room is empty by 5. AV matters more than decor, and the person who booked you is often an office administrator who will not return your call after the event. Get the run sheet, the delegate count with a cut-off time, the GSTIN and the PO before the date. A daytime block frees the hall for an evening reception only if the turnaround time is written into both bookings. Two sessions on one hall is where a system earns its fee, because a paper diary shows a free hall and a clash appears at 4 pm.
If you host only conferences, with hotel rooms, ticketing and multi-day registration, an event product built for that, such as Cvent, will fit better than a venue system. Get the PO and GSTIN before the date
An invoice with the wrong GSTIN or no PO number is the most common reason a company holds payment.
Agree the TDS section in advance
Ask whether the client deducts under 194-I on the hall, 194C on the whole invoice, or both, and note it on the PO.
Write the payment term into the contract
A written agreement caps the period at 45 days for a registered micro or small vendor, and without one the limit is 15 days.
