Eight modules a hotel system has to cover

Whatever you buy, a demo should prove each of these in front of you. The test line under each name is the one to ask for.

Front desk and reservations

Rooms, rate plans, check-in and check-out. Test: change the rate mid-stay, add an extra bed, then move the guest to another room.

Housekeeping and maintenance

Room status from dirty to inspected. Test: mark a room clean on a phone and watch the front desk screen update without a refresh.

Night audit and day close

Posts the day's room charges and locks the books. Test: does the day-close total match your manual sheet to the rupee?

Channel manager and booking engine

Keeps OTAs and your own site in step. Test: block a room on your system and time how long it takes to close on the OTA.

Restaurant POS and room posting

Sends dinner to a room folio. Test: split one bill between two guests and post half to a room.

GST and folio billing

Right rate per line, sequential invoice numbers, advance adjustments. Test: bill rooms at ₹6,800 and ₹9,500 and read both invoices.

Who can discount, void or back-date a bill. Test: log in as a trainee and try to void yesterday's invoice.

Occupancy, revenue by outlet, ageing and a Tally file. Test: hand your accountant a month of output and time the import.

What each module has to get right by morning

Take a 24-room hotel that runs 70% occupancy at an average rate of ₹3,800. That is 504 room nights a month, or about ₹19.15 lakh of room revenue, with 5% GST adding roughly ₹95,760. A one percent posting error is ₹19,152 gone every month before anyone notices. That is why the eight modules above are worth testing one by one. Vendors love to show a booking screen and a colourful dashboard. The money moves through folio posting, tax rules and day close, so start your demo there and finish with the dashboard if time remains.

The front desk module looks simple until real guests arrive. Test group bookings with two room types, an early check-in that needs a half-day charge, and a guest who extends by a night when the room is already sold. Then test the tax edge that catches many hotels. Room tariff GST is decided per unit per day, and practitioner guides read that value as including an extra bed. A ₹7,200 room with a ₹500 extra bed becomes a ₹7,700 unit, so the whole night moves from 5% to 18%. The guest pays ₹9,086 instead of ₹7,560, a jump of ₹1,526. Ask your CA how you want that handled, then check the software does exactly that.

Housekeeping and night audit are the modules owners skip in demos and regret later. At 70% occupancy, about 17 rooms are occupied on an average night, so a status board with a delay of ten minutes leads to guests waiting in the lobby. Night audit is the daily lock: room charges and tax post, cash, UPI and card settlements are reconciled, and the day closes so nobody can back-date an entry. Ask to see what the report looks like when the auditor forgets to post a restaurant bill. A good system flags it. A weak one closes the day and lets you find out at month end.

Distribution and compliance sit at the edges. A channel manager needs to sync in both directions and show what happened when a booking failed to sync. Ask how many OTAs it connects to and what each connection costs, since one 2026 pricing guide lists channel-manager access as a frequent extra cost. Then check Form C. Hotel-compliance guides say every foreign guest must be reported on the e-FRRO portal within 24 hours of arrival, and several Indian PMS vendors list built-in filing that pre-fills the fields from the check-in record. If you host more than two or three foreign guests a week, this module saves real time. Confirm current rules with your local FRRO.

Banquets are the module most hotel systems handle worst, and the one Kaliquid was built for. Picture the same hotel with a 250-guest hall. Wedding enquiries need a calendar that sells lunch and dinner as separate sessions, a tentative hold that expires on its own, a per-plate quote, three advance instalments and a kitchen plan. It does not do night audit, housekeeping, channel management or room folios, so you would run it next to your PMS. Two logins cost a little time. A double-booked Saturday costs a wedding.

Spend the first 10 days on data: room types, rates, tax settings, 90 days of future bookings and every unadjusted advance. Spend the next week on configuration and the GST tests. Train the front desk in two half-days and housekeeping in one. Then run both systems in parallel for a week, entering every day twice, and compare the revenue totals each night. Go live only after three consecutive days inside a tolerance of ₹100, on a quiet Monday or Tuesday, with a printed guest register as the fallback.
