Choosing a Template by What You Sell

The mistake behind most wrong invoices is one generic template with a rate cell that somebody forgets to change. The workbook avoids that by giving each kind of business its own sheet. Hall or lawn rental with no food sits at 18% under SAC 997212. Catering and food packages at an ordinary venue sit at 5% with no input credit, under SAC 996334. Event management, decor and DJ work is 18% under SAC 998397. Composition dealers get a bill of supply with no tax at all. Put the same ₹1,00,000 line through the wrong sheet and the tax reads ₹5,000 instead of ₹18,000, or the reverse. That is a ₹13,000 error on a single line, and it repeats on every invoice until somebody notices.

Numbering deserves more care than the logo. The Numbering sheet builds each invoice number from a prefix, the financial year and a serial: INV/2026-27/0148. Count it and you get exactly 16 characters, the limit in Rule 46. A five-digit serial would make it 17 and break the rule, which is why the sheet shows the length and flags anything over. Restart the serial at 0001 each April, and give bills of supply their own prefix, BOS for example, so the two series never cross. When you issue an invoice, type its serial into the last-used cell straight away. The next number then updates, and the sheet you open tomorrow starts from the right place.

The habit that produces duplicate numbers is the oldest one in billing: open last month's invoice, save it under a new name, overwrite the client and forget the number. This workbook moves that risk rather than removing it, because every sheet reads the number from one cell that you must remember to advance. Make it part of sending. If two invoices go out as 0148, the second one cannot be edited into shape. It has to be cancelled and reissued, and the client's accountant has now seen both. A register at the bottom of the Numbering sheet gives you a running list to check against.

Excel suits most owners because the formulas travel with the file. Google Sheets can open the workbook from Drive, so test the totals against the sample above before you trust it. Word is fine for a single invoice a week, as the Word invoice page explains, but it does not recalculate tax. Whatever the tool, send a PDF and not the working file. Name it INV-2026-27-0148.pdf, because a slash is not allowed in a file name, and the client can still match it to the invoice number printed on the page.

A template stops being enough at a fairly predictable point. At ten minutes an invoice, 40 invoices a month is nearly seven hours of typing and checking. Add two people billing from separate copies and duplicate numbers follow. Add advance payments and you also need receipt vouchers that reconcile to the final bill. Cross ₹5 crore of turnover and B2B invoices need an IRN as well. None of that is a reason to skip the template today. It is a signal to look at software before the fifth duplicate number, not after.
