What a caretaker's phone has to do on a wedding-season day
Families find you on a listing. The phone in the caretaker's hand decides whether the date is held, the quote goes out and the advance is recorded properly.
A calendar by date and shift

One Wednesday in wedding season, on the caretaker's phone
Two very different things are sold under the name marriage hall booking app. The first is a listing app that families use to search for a mahal by district, see booked dates and phone the owner. BookMahal, for example, described a free search for families and an owner plan at Rs 60 a month on its own site in September 2026. The second is the app an owner and caretaker use to run the hall: the calendar, the quote, the advance, the receipt and the handover. A listing brings you the enquiry. It does not quote in your format, hold a date for 48 hours, issue a GST receipt voucher or tell the night caretaker what the AC meter read at 6 pm. This page is about the second kind.
The season is short, which is why the phone matters. Devuthani Ekadashi falls on 20 November 2026, or 21 November by the Vaishnava count, and it reopens the wedding calendar after Chaturmas. Published muhurat lists disagree by region and priest, but most put only eight to ten classical dates between then and Kharmas, which runs from about 16 December 2026 to 14 January 2027. Take ten dates and two shifts and you have 20 prime slots. At Rs 1,80,000 of hall rent each, that is Rs 36,00,000 to be sold in about four weeks. One slot lost to a double booking, or parked for days on a family that never called back, costs Rs 1,80,000 before a single plate of food.
Here is a Wednesday in late November. At 8:10 am a family of six from the next town asks for the evening of 25 November. Ramesh, the caretaker, opens the calendar on the phone. The morning of that date is taken by the Reddy function and the evening is free. Because the two shifts are separate slots, the Reddy lunch does not block the evening. The family wants to check the muhurat with their priest before paying anything, so Ramesh places a tentative hold. It blocks the slot on every other phone and desktop, and it releases itself after 48 hours, which here means the morning of 27 November. Nobody has to remember to clear it.
Before the family reaches the car, the quote is on their WhatsApp. Hall rent is Rs 1,80,000. Four hundred plates at Rs 850 come to Rs 3,40,000. Taxable value is Rs 5,20,000, GST at 5% is Rs 26,000, and the total is Rs 5,46,000. At an ordinary venue a hall and food sold as one package is a composite supply at 5% without input credit, while the same hall rented alone is 18%. Say which one you are quoting, because the figure on the family's phone is the figure they will remember.
The advance to confirm is 25%, which is Rs 1,36,500. The family pays on the UPI QR that Ramesh shows, and the money goes to the hall's own bank account. Because this is a service, GST on an advance falls due when the advance is received, so the receipt voucher has to show it. Rs 1,36,500 multiplied by 5 and divided by 105 gives Rs 6,500 of GST, which leaves Rs 1,30,000 taxable, with Rs 3,250 each of CGST and SGST. That is the usual tax-inclusive way to split an advance, and your CA decides how it applies to your contracts. The receipt is numbered, sent to WhatsApp and tied to the booking, so the final invoice can adjust it later.
Note the UPI date. From 15 October 2026, UPI payments to merchants above Rs 2,000 carry a 0.4% merchant discount rate, capped at Rs 300 a payment. On Rs 1,36,500 the 0.4% would be Rs 546, so the cap of Rs 300 applies. Merchants who receive up to Rs 1 lakh a month through UPI QR are exempt, and a hall taking wedding advances will usually be above that. UPI stays free for the customer, and NEFT or RTGS carries no MDR. How any charge reaches you depends on your bank or payment provider, so ask them before you promise a family a fee-free UPI payment.
At 11 am the decor crew arrives and Ramesh walks the mandap. Before the function the AC and generator submeters are photographed on the phone, and Kaliquid lists this capture as working without a network. After the function the same two photos are taken again. If the AC meter read 48,210 before and 48,690 after, that is 480 units, and at Rs 11 a unit the electricity recovery is Rs 5,280. Generator diesel is billed the same way from the tank reading. Nobody argues about the number next morning, because both photos sit beside the booking. Keep these as separate lines and ask your CA how they are taxed.
Who sees what matters when staff rotate. The caretaker needs dates, family names, advances received and the handover notes. The owner's margins and the bank ledger are not the caretaker's business, and role-based access keeps them apart. Language is the other test. Families at a mahal speak Hindi, Tamil, Telugu, Marathi or Gujarati, and a quote is often forwarded to an uncle who reads only one of them. In any demo, ask for a quote with your menu items written in your own language and send it to a phone you do not control. If characters arrive broken, you have learned something before paying.
Five questions settle a demo. Can two shifts on one date go to two different families? Does a hold expire without anyone touching it? What can a caretaker see, and what is hidden? Does the receipt show the GST inside the advance? What still works when the hall has no signal? Then do the money check. Kaliquid Pro is Rs 999 a month per hall, or Rs 750 a month if billed yearly, which is Rs 9,000 a year. Enterprise is priced by quote for groups with several venues. Rs 9,000 is 5% of one lost prime slot at Rs 1,80,000, so the app pays for itself if it saves one slot in a season. If all you need is more enquiries, a listing at a few hundred rupees a month is cheaper and does a different job. Many halls run both.
