What a hall booking app has to do when the bookings are small

Community halls, function halls, seminar rooms and coaching classes sell hours and days, not two shifts. The rules for price, deposit and cancellation matter more than the calendar.

Booking a hall that is not a wedding hall

Booking a hall that is not a wedding hall is a different problem. A marriage hall sells two shifts a day on a few hundred pinned dates. A seminar hall, a coaching room or a community hall sells dozens of small blocks, and the fight is over minimum hours, day rates, deposits and overtime. Take a seminar hall priced at Rs 1,800 an hour, with a three-hour minimum, a day rate of Rs 12,000 for up to eight hours, overtime at Rs 2,500 an hour and a refundable deposit of Rs 10,000. Everything below uses those numbers.

A four-hour seminar, 10 am to 2 pm on a weekday, is 4 hours at Rs 1,800, which is Rs 7,200. GST at 18% adds Rs 1,296, so the bill is Rs 8,496, and with the deposit the client pays Rs 18,496 to confirm. Seven hours would cost Rs 12,600 by the hour but Rs 12,000 by the day, so the day rate wins from the seventh hour, because Rs 12,000 divided by Rs 1,800 is 6.67. At nine hours the hourly price is Rs 16,200 and the day price with one hour of overtime is Rs 14,500. Charging only by the hour overcharges the long booking by Rs 1,700. Selling only the day charges the four-hour client Rs 4,800 more than needed, and that client books somewhere else.

Hall rent for non-residential use is charged at 18% GST under SAC 997212, split 9% and 9% inside a state. Halls run by a resident welfare association, a trust or a local body can have different treatment, so ask your CA before you copy the 18% or assume an exemption. If the hall also supplies food, the package rules change and the rate can be 5%. The point for a booking app is that the rate belongs to the booking type, not to the whole hall, so the quote should show it.

Delhi's municipal corporation publishes its own online procedure for community halls, and it shows how a large public hall handles the same problems. A citizen registers with a mobile number and OTP, picks a booking type, event, hall and shift, and sees a colour-coded calendar with six states: Available, Blocked, Booked, Not available, Initiated and Selected date. The charges, including GST, appear before payment. Bank details are taken at booking for the deposit refund, which comes later through a manual application to the zonal office and a condition check by the hall supervisor, with deductions for damage. That is the answer to the common question of how to book a community hall in Delhi, as read on the corporation's booking site in September 2026.

Three lessons sit inside that procedure. An Initiated state stops two people paying for the same slot. The deposit refund is where staff and hirers spend their time, so the condition of the hall has to be recorded at handover, not remembered. And a discounted booking needs a named approver. When people ask which is the best booking app for venues, these are better tests than a feature list. Does the calendar match how you sell, by shift, by hour or by day? Can a slot be held while payment is pending? Is the deposit tracked separately from rent? Does the receipt show the GST? Does it work on the phone your front desk actually uses?

Deposits and cancellations decide whether the numbers hold. On the Rs 10,000 deposit, four damaged chairs at Rs 1,200 is Rs 4,800, and one hour of overtime at Rs 2,500 plus 18% GST of Rs 450 is Rs 2,950. Deductions are Rs 7,750 and the refund is Rs 2,250. Cancellation is the other half. If the same Rs 7,200 booking is cancelled 12 days ahead and your ladder refunds 50% from 7 days, Rs 3,600 goes back. Write both rules into the terms before the first payment, and keep the handover photos with the booking.

Payments need a date check. From 15 October 2026, UPI payments to merchants above Rs 2,000 carry a 0.4% merchant discount rate, capped at Rs 300 a payment. Merchants receiving up to Rs 1 lakh a month through UPI QR are exempt. Twenty bookings of Rs 8,496 a month bring in about Rs 1.7 lakh, which is above that line. UPI stays free for the customer, and NEFT carries no MDR. How any charge reaches you depends on your bank or payment provider, so confirm before you quote a fee-free payment. Kaliquid Pro is Rs 999 a month per hall, or Rs 750 a month billed yearly, which is Rs 9,000 a year, and Enterprise is priced by quote. Rs 750 is about a tenth of the rent on one four-hour seminar.
