Payment receipt checks before you send it

Proving a payment happened: UPI, NEFT, RTGS, IMPS and cheques

A screenshot from a payment app is easy to crop and easy to fake, so it settles very few arguments. What does settle them is the credit line on your own bank statement together with a receipt that quotes the same reference. Ask any accountant which of the two they would rather have at year end. The statement is primary proof, the receipt ties that line to a particular invoice and balance, and a screenshot is a courtesy copy. A venue that keeps all three for a ₹1,50,000 instalment loses nothing when the client swears they paid twice.

References look alike and are not. A NEFT UTR runs to 16 characters, an RTGS UTR to 22, and a UPI or IMPS payment carries a 12-digit reference that apps loosely call the UTR or transaction ID. SBIN526123456789 is 16 characters and plausible for NEFT. 624817390215 is 12 digits and fits UPI. A single mistyped digit makes a payment untraceable when the bank is asked about it, which is why the Excel tracker on this page tests the length for each mode and shouts when a reference is short, long or repeated on two lines.

Part payments are where receipts go wrong, because each one has to carry the whole story. A ₹4,72,500 catering invoice paid in three goes needs the same layout every time: invoice total, TDS deducted, earlier receipts, this payment, balance. On the tracker's sample, ₹1,00,000 by UPI on 12 August, ₹1,50,000 by NEFT on 15 September and a ₹1,00,000 cheque on 22 September leave ₹2,13,500 after TDS while the cheque is still with the bank. The tracker separates cleared money from pending money, so the balance falls to ₹1,13,500 only when the cheque is credited.

Cheques deserve their own caution. The RBI shortened their validity from 6 months to 3 months in 2011, counted from the date written on them. Cheque 112233, dated 20 May, presented on 18 September, is 4 months old and will be returned, which the tracker flags as stale. Receive a cheque 'subject to realisation' and issue the final receipt only after it clears. If it bounces, Section 138 of the Negotiable Instruments Act expects a written demand within 30 days of the bank's return memo, and the payer then gets 15 days to pay.

Mode of payment shapes the paperwork. The usual UPI ceiling is ₹1 lakh per transaction, and NPCI's September 2025 increase to ₹5 lakh covers named categories such as insurance, travel and capital markets, not hall or catering bookings, so plan on ₹1 lakh unless your bank says otherwise. RTGS starts at ₹2 lakh, which puts a ₹1,50,000 instalment on NEFT. A client who splits ₹1,50,000 into two UPI payments of ₹75,000 creates two credits on your statement, so issue two receipt lines or one receipt listing both references. Log each, or the day-end match will not tally.

TDS explains most short payments. A corporate client deducts 2% on the ₹4,50,000 catering value and pays ₹4,63,500 against a ₹4,72,500 invoice. The ₹9,000 difference is not a discount. It is tax the client has paid to the government on your behalf, and it stays on your books as a receivable until the credit appears in Form 26AS or AIS. CBDT Circular 23/2017 says TDS is taken on the amount before GST when GST is shown separately, so a client deducting 2% of ₹4,72,500, which is ₹9,450, has over-deducted by ₹450. Ask for the certificate before you mark the invoice settled.

A monthly reconciliation takes ten minutes if the log is kept daily. Match each credit on the bank statement to a line in the payment log, mark it cleared with the date, and chase the lines still pending after 3 working days. Look for repeated references, since a UPI reference of 731948205516 typed twice looks like ₹5,000 received twice. Then read the invoice sheet: Settled, Part-paid, Unpaid or Overdue by a number of days. That single column tells you whom to phone on Monday morning.
