What restaurant management software should manage, and the order to roll it out
Billing is one of six jobs. A full restaurant system also holds the menu and recipes, stock and purchasing, staff roles, reports across outlets and guest data. Searchers who type restaurant management software often mean the same thing as ERP in restaurants: one system that ties billing, inventory, purchases, accounts and staff together instead of five spreadsheets. Big chains buy enterprise ERP, and one outlet does not need it. A 40-seat restaurant is well served by a POS with stock control. Three outlets and a central kitchen need consolidated reports and stock transfers. Match the system to the size you are, not the size you hope to be, because every extra module you pay for and never open is a monthly cost.
Food cost is the number the system should improve. Indian casual dining is commonly quoted at 28 to 35% of sales, quick service at 25 to 30% and fine dining at 30 to 40%, according to guides from Petpooja, DineOpen and HospiMinds read in September 2026. Selling price equals plate cost divided by target food cost, so a paneer dish that costs ₹95 to plate needs a menu price of about ₹339 at a 28% target. Add 3 to 5% for chutneys, garnish and oil that never make it onto a recipe card. On ₹8,00,000 of monthly food sales, moving from 34% to 31% keeps ₹24,000 a month. Stock variance finds what recipe costing cannot. Count the fifteen items that make up most of your purchase spend every week, and compare what the count says you used with what your sales say you should have used. In the sample sheet, rice runs 5 kg over expectation, worth ₹575, and milk runs 17 litres over, worth ₹986, in a single week. Causes are usually mundane: heavy-handed portions, boiling loss on milk, a supplier short-weighing, a batch thrown away and never logged. Weekly counts catch a leak while you can still remember who was on shift. Annual counts only tell you the damage. Set a flag at 5% and look at the flagged items first.
Menu prices are shown to guests with tax included, so the maths runs backwards from what the bill prints. A dish priced at ₹260 before GST sells at ₹273 with 5% added. If you round a menu price to a neat number, work out what the tax portion becomes: a ₹275 menu price contains about ₹13.10 of GST, so the sale you report is ₹261.90, not the ₹260 you costed. Staff roles matter here too. A cashier should not be able to change a price, a captain should not void a bill without a manager, and the person who orders stock should not be the person who counts it. Ask any vendor how roles are set and whether the log shows who changed what.
Roll out in phases, and never cut over on a Saturday night. The tracker sheet lays out eighteen tasks across about 120 days. Sixty days before go-live you get the written price and export your menu. Thirty-five days out you upload it with service charge off by default and enter recipes for your twenty best sellers. In the last three weeks you print twenty test bills, run one kitchen shift on test tickets, and pull the internet cable for thirty minutes to see what happens. Bill on the old and new systems in parallel for three days, then switch at a quiet lunch and keep the old system read-only. Review the food-cost report with your accountant at day thirty and decide at day sixty whether the system stays.
If the restaurant also runs a party hall, expect friction on weekends. A Saturday can bring a 120-guest lunch in the hall while the restaurant is full, both drawing on one kitchen. The restaurant system will not tell you the hall is double-booked or that the balance on a ₹4,50,000 event is overdue.
