What a venue manager needs on a phone, and what can wait for the laptop

What a venue manager does all day, and what belongs on their phone

The venue manager is the person the family looks for at 6 pm when the DJ is late and the hall is warm. On paper the job is bookings, staff, vendors, cleanliness, safety and cash. In practice it is a stream of small decisions with the owner asleep or abroad. Software for that person is not the same as software for the owner. The owner wants margins and month-end totals. The manager wants to know what is happening in the next four hours, and needs an answer without opening a laptop.

Work backwards from the event. At 24 hours out, confirm the final guest count in writing and send it to the kitchen. At 12 hours, get arrival times and vehicle numbers from the decorator, the DJ and the caterer, so the gate knows who is coming. At 6 hours, have the hall cleaned, the AC pre-cooling and the opening meter photographed. At 3 hours, check generator fuel. At 1 hour, put parking and valet staff in position. At close, photograph the closing meter and supervise the breakdown. The free run sheet lists 14 checkpoints from 24 hours before the event to the next day's bill. Each takes about 2 minutes. Skipped, each turns into an argument at the counter: a damage nobody photographed, a generator nobody counted.

Utility readings are the cleanest example. The AC meter reads 4,812 at the start and 4,930 at the end, which is 118 units, or ₹1,475 at ₹12.50 a unit. The stage meter moves 56 units, ₹700. The generator runs 4.5 hours at ₹1,900 an hour, ₹8,550, and 2 extra AC hours at ₹2,500 add ₹5,000. That is ₹15,725 before 18% GST of ₹2,830.50, or ₹18,555.50 on the invoice. Without timestamped photos, the client disputes the ₹15,725 and you have your memory against theirs. The workbook does this arithmetic from your readings, with your own tariff in the yellow cells. Bill only what your contract lets you pass on.

Keep an incident log even on quiet nights. The sample sheet has five lines from one reception: the mains dropped for 4 minutes, a chutney counter ran dry, a guest needed a wheelchair ramp, a DJ played above the agreed level, and a glass panel on a display case broke. Each line carries a time, a severity from 1 to 3, what was done, who did it and whether it is closed. Three months of these lines tell you which vendor arrives late, which generator changeover is unreliable and which complaint keeps returning. The log also protects you when a client says the AC was off for an hour and you can show the time you noticed and the time you fixed it.

Money at the door is where managers get blamed. When a client pays a balance in person, record it on the booking the same minute, hand over the receipt and let the accountant see it. A UPI QR sends the money straight to the venue's own bank account, and you should know the rule that applies to it. From 15 October 2026, UPI payments from a person to a merchant above ₹2,000 carry a merchant discount rate of 0.4%, capped at ₹300, which is reached at ₹75,000, while merchants who receive up to ₹1 lakh a month through UPI QR are exempt, and UPI stays free for the customer. Bank transfers such as NEFT, RTGS and IMPS carry no such charge. Check with your bank how it will apply to your account, and factor it in when you take a large advance by UPI.

No app replaces walking the hall. Software does not clean a floor, and a checklist that nobody ticks is worse than none. Use the free run sheet for a month. If you find yourself adding the same row every day, that row is a field you should demand from whatever software you buy. Search for 'venue manager software free download' and you will find several apps with that kind of name on the Play Store and elsewhere. They are different products from different companies, so read what each one does and where it stores your customer data before you enter a single booking.
