Clash check that knows about full days

When a register stops being enough

Start with the good news. Excel is enough for a lot of venues. One hall, one person who takes every booking, a phone that rings a few times a week: the register in this download will serve you well and costs nothing. The rest of this page is about the day that stops being true, so you can spot it before it costs you a wedding. If you never reach it, do not buy software because a page told you to.

What the template does. Each booking is a row with an ID, date, shift, hall, client, guests and status. A Clash check column turns red when the same hall already has that shift booked, or when a full-day booking overlaps a morning or evening one. The sample shows it: Mehta Pvt Ltd holds the Grand Hall all day on 6 December, and the Rao family's evening booking on the same day is flagged. Data validation refuses a second typed booking on the same shift. A Payments sheet adds advances by booking ID, so B-001's ₹1,00,000 and ₹1,50,000 become ₹2,50,000 received without anyone re-typing. An Availability sheet shows a month by hall, and a Dashboard totals status, clashes, expired holds and outstanding balance.

The GST columns follow one reading: a hall and food package at an ordinary venue is a composite supply at 5%, hall rent billed alone is 18%, food billed alone is 5% and extras such as decor or DJ are 18%. For B-001, 450 guests at ₹900 give ₹4,05,000 of food. With ₹2,00,000 of hall rent and ₹60,000 of extras the taxable value is ₹6,65,000. GST is ₹30,250 on the package plus ₹10,800 on extras, ₹41,050 in all, so the total is ₹7,06,050 and, after ₹2,50,000 of advances, the balance due is ₹4,56,050. Change the rates on the Setup sheet if your CA advises otherwise, for example for specified premises.

Now the honest part: where it breaks. Picture Saturday 12 December. At 6 pm the desk person takes an enquiry for the evening. At 6:20 the owner tells another family on the phone that the date is free. Neither wrote it down yet. No formula can catch that, because the promise never reached the file. Other cracks are quieter: an owner's copy on a phone and a manager's copy on a laptop, a tentative hold nobody released, advances noted in a receipt book and never entered, and a formula overwritten by a paste. Each is human, and each gets more likely as staff and halls increase.

Know what Excel's validation does not do. It checks typed entries only. Pasted cells, filled-down cells and imported rows skip it, which is why the template has both the block and the red flag. The hold check uses TODAY(), so it changes each day the file opens. The register holds 300 bookings, so start a new file each financial year. Two people can co-author an Excel file on OneDrive, but expect the occasional conflict. Nothing in the file sends a quote, a reminder or a receipt. Those stay manual, and in wedding season that manual work is what eats the evenings.

Signs it is time to move: more than one person takes bookings, you run several halls or shift patterns, you send quotes on WhatsApp all day, advances are chased by hand, or you cannot say what is unpaid this month within a minute. Move only future bookings and open balances, keep the old file read-only, and follow the 15-day checklist so nothing falls between the two.
