What a venue owner needs in a pocket, and what can wait for the desktop
Owners and floor managers spend their day away from the office. These are the five things that have to work on a phone, in the order the day asks for them.
One calendar every phone sees
Each hall and slot sits on a shared calendar. When two people try to book the same hall and slot, the second one is flagged straight away.
A quote before the client reaches the car park
Pick the hall, the guest count and the menu, then send the quote on WhatsApp from the site visit, with a UPI QR for the advance.
Advance and balance on one screen

A venue owner's day, hour by hour, on a phone
Start at 8 in the morning. Three enquiries arrived overnight, one of them at 11.40 pm from a family in Indore that wants a December evening for 450 people. The first question on the phone is always the same: is that date free? If the answer sits in a paper register in the office, you cannot give it from the breakfast table, and the family messages the next hall on their list. Android runs about 93% of phones in India by StatCounter's 2026 count, so almost every manager and steward you employ already carries the device this needs. The calendar, the holds and the enquiry list have to be one tap away, and that is the standard to hold any booking app to.
Take the site visit. A couple walks the lawn at 4 pm with both sets of parents. You have a rough number in your head, 450 guests at Rs 1,200 a plate plus Rs 2 lakh for the space, and the family wants it in writing before the next venue. Write it once, from the phone, while they are still looking at the stage. Rs 5.4 lakh of food and Rs 2 lakh of rent is Rs 7.4 lakh before extras, and a 30% advance is Rs 2.22 lakh. Put a date hold on the calendar, ask for the advance, and let the hold expire on its own if it does not arrive. Kaliquid releases a tentative hold after 48 hours unless the advance is paid, so nobody has to remember to chase or release it.
Collecting the advance is where payments changed this month. UPI stays free for the person paying. From 15 October 2026, a merchant charge of 0.4% applies to UPI merchant payments above Rs 2,000, capped at Rs 300 a payment, and the cap is reached at Rs 75,000. Merchants who receive up to Rs 1 lakh a month through a UPI QR are exempt. A Rs 2.22 lakh advance therefore carries at most Rs 300, and a venue that takes three of them in a month is well above the exemption. A QR sends the money straight to your own bank account, but that does not remove the charge, so ask your bank or payment provider exactly how it will show up. A NEFT or RTGS transfer carries no such charge, and for a large advance it is worth offering both.
On the event day, the phone becomes a checklist. Photograph the meter and the hall before the decorator starts and again after strike, with the date and time visible. Note the final guest count that the family confirms at 6 pm, record any cash received, and log a breakage while the decorator is still on site. This matters more than it sounds. Most disputes about power charges, turf damage and extra plates come from a fact that nobody wrote down at the time. Stewards can log what they see without being able to view your margins, because the sales and floor roles do not include the money screens.
Be honest about the network. A shared calendar cannot lock a date without a connection, so any app that claims to work fully offline is either queueing your booking or guessing. Walk the basement banquet, the far end of the lawn and the parking area with the app open during the trial, and see what happens when the signal drops. Photos and notes can wait for a connection. A date lock cannot. If your venue sits in a dead spot, tell the vendor before you pay, and ask for the behaviour in writing.
Some jobs still belong on a desktop. Month-end reports, bulk edits, the Tally export and the GST invoice review are easier on a large screen, and the desktop view of the same data is described on the venue booking software page. The two are one system with two windows. If you run a single hall that takes four or five bookings a month, a paper register and WhatsApp may serve you fine, and you should say so to any salesperson who says otherwise. At Rs 999 a month per hall, or Rs 750 a month if you pay yearly, which is Rs 9,000 a year, one saved double booking on a Rs 3 lakh function covers the software for years. That is the case for it, and it is a case about disputes and slow replies, not about features.
Use the trial as a test, not a demo. Download the response-time log on this page, log every enquiry for 30 days with the minute it arrived and the minute you answered, and see what your own numbers say about reply speed and advances. If replies inside five minutes turn into more advances at your venue, the phone view has earned its place. If they do not, you have saved yourself a subscription and learned something true about your customers.
