The fairest foreign option for a small hall, and where it stops

This tool deserves a straight review. It runs two products under one name: venue and catering software, and a separate event-planner product priced by how many events you run. Its venue page lists meeting and event centres, reception and wedding halls, restaurants and caterers as its users, and it bundles calendars, leads, proposals, contracts, e-signatures, invoices, payments, forms and floor plans (planningpod.com, September 2026). Venue plans are shown from about USD 149 a month on a yearly term, with unlimited users and no startup fee. Pricing depends on how many events you manage at a time. Third-party listings put the planner plans at roughly USD 49 to 159 a month; treat those as unconfirmed.

In rupees, USD 149 a month is about Rs 14,300, or Rs 1.72 lakh a year at Rs 96 to the dollar on 24 September 2026. For a hall that books 150 functions a year at an average Rs 2.5 lakh, that is under half a percent of the Rs 3.75 crore of business it handles. The subscription is not the worry. The worry is the fit, and the hidden costs that arrive around it: a USD invoice, 18% GST on a service bought from abroad that a food-at-5% venue may not be able to claim back, and an exchange rate that moves. This is why the workbook linked from the Cvent page is worth running with your own numbers.

The tax feature is where Planning Pod is genuinely useful. Its invoicing page lets you add several tax rates and assign them per line item, with unlimited line items, markups, discounts and service fees. That means an accountant can bill hall rent at 18% and food at 5% on one invoice by hand. What the page does not mention is GST at all: no CGST/SGST against IGST choice from the client's state, no SAC code fields, no UPI. You may be able to work around each one, and every workaround is someone typing on Saturday night. Count the workarounds in the trial, then multiply by the number of bookings you take in a season.

Payments are the second gap to test. Its payment tool, the vendor says, supports multiple currencies and takes deposits, invoices with instalment schedules, and client-portal payments. Indian venues also collect by UPI, cash, cheque and NEFT, often against the same booking. Take the Rs 5,19,500 wedding from the test script: Rs 1,00,000 by UPI, Rs 50,000 cash, Rs 75,000 cheque, and the balance later. If the tool cannot record cash and cheque, you keep a parallel notebook, and a parallel notebook is how balances go wrong.

Where Planning Pod is clearly ahead: e-signature contracts, floor plan design, and a mature set of BEO copies for front of house, kitchen, client and delivery. If your sales process is a signed contract and a polished proposal, it is well built for that. Kaliquid leans the other way. It is stronger on the receipt-heavy, WhatsApp-first, GST-split reality of an Indian wedding, and lighter on contract polish and layout design. Decide which of those two your business loses money on.
