The enquiry-to-booking pipeline, stage by stage
If you searched for 'venue CRM login' or 'Weddingz venue CRM', a note first. Marketplace sites such as Weddingz give listed venues a partner login where they see the enquiries the portal sends. That is a lead inbox, and it may be a good one, but the follow-up history sits on the portal's side. A CRM of your own holds all your leads from every source, portals included, in one list that you keep if you ever leave a portal. Treat the marketplace as one source among several and record it in the same tracker as your website form, your phone calls and your walk-ins.
Count by source, not by total. The sample tracker has 12 enquiries: 2 from Google Ads, 3 from Meta, 2 from the website, 2 phone calls, 1 walk-in, 1 WhatsApp message and 1 referral. Google, the website, a phone call and a referral each produced one booking, and the 3 Meta enquiries produced none. On ₹42,000 of Google spend and ₹30,000 of Meta spend, that is ₹42,000 per booking from Google and no booking at all from Meta. Twelve rows prove nothing, and a real month has 60 to 100 enquiries, but the habit of counting by source is exactly what a CRM is for. Ad spend that has no bookings against it is the first line to cut.
Speed matters, but be exact about the evidence. The often-quoted five-minute figure comes from a 2007 lead-response study led by James Oldroyd, then at MIT, with InsideSales.com. A separate 2011 article in Harvard Business Review found that firms contacting web leads within an hour were nearly seven times as likely to qualify them as firms that waited an hour longer. Both used US sales data. For a family choosing a wedding hall, the direction is plausible, because the first venue to answer often gets the first visit. So measure your own. In the sample, 6 enquiries were answered within 5 minutes and 3 of them booked, which is 50%. The 6 answered later booked 1, which is 17%. Twelve rows prove nothing, but your own few hundred will.
The site visit is the real sale, because families choose a hall by walking it. Offer two time slots in your first reply, and send the quote before the visit so the family reads the numbers with the ballroom in view. Version the quote: version 1 at the enquiry, version 2 after the visit with the menu changes, version 3 if the date moves. When a family says you told them ₹1,150 a plate, the versions settle it in seconds. Note who attended the visit, because the person who decides is often not the person who called.
Silence is a decision too, so ask. The cadence sheet in the workbook uses 7 steps: reply the same day, a quote and a WhatsApp reminder the next day, an offer of a visit on day 2, a question about what is holding the decision on day 4 with a 48-hour hold, a set of event photos on day 7, a last date check on day 14, and a polite close on day 30. Enter the date of the last touch and the number of touches done, and the sheet shows who is due today and who is overdue. In the sample, 3 of 5 leads need a call on 12 September.
A verbal hold is a free option on your best date, so give it a clock. Forty-eight hours is a common window, released automatically unless an advance arrives. Kaliquid's CRM does this with a 30% advance token, and you should put the rule in the quote so no family is surprised. The alternative is a peak Saturday that sits 'tentative' for three weeks while two other families are turned away. When the advance comes by UPI, the QR pays into your own bank account. From 15 October 2026, UPI payments from a person to a merchant above ₹2,000 carry a merchant discount rate of 0.4%, capped at ₹300, while merchants receiving up to ₹1 lakh a month through UPI QR are exempt. Bank transfers carry no such charge, so ask large-advance clients which they prefer.
Perfect Venue is the closest US comparison, and its pricing page is public. As read in September 2026 it lists three plans on annual billing at $59, $119 and $189 a month, with higher monthly-billing prices, and payment fees of 3.8%, 3.2% and 2.8% by plan. It is a solid product for US venues. It says nothing on that page about India, GST or UPI, and it prices in dollars, which at an assumed ₹96 makes the entry plan about ₹5,700 a month. Kaliquid Pro is ₹999 a month per hall, or ₹750 if billed yearly. The table below shows where each is stronger.
