Zoho Books, and where a banquet needs something else

Start with what Zoho Books does well, because it is a lot. It produces GST invoices with CGST, SGST and IGST, e-invoices with an IRN for B2B sales, e-way bills and delivery challans, works out liabilities and files returns, connects to major Indian banks, sends reminders and runs a customer portal. Zoho will help you import from Tally. There is a free plan for very small businesses and paid plans from ₹749 a month on annual billing. If your only problem is bookkeeping and your booking diary never clashes, keep Zoho Books, even on the free plan, and pair it with the Excel register from our register page. Nothing else on this page is a reason to switch.

The gap is hall availability. The package has no calendar of shifts by hall, so a quote or sales order carries no rule that says the Grand Hall is taken on the evening of 4 December. That matters because banquet money is lost before an invoice exists: a date promised twice on two phones, a tentative hold that nobody released, an advance noted in a contact card and never entered. An accounting package records the consequences of those mistakes cleanly. It cannot prevent them. This is what a venue tool is for, and it is the honest reason the two products get used together.

Advances deserve a worked example, because this is where banquet invoices differ from a shop. Take a hall and food package at an ordinary venue: ₹6,00,000 taxable at 5% gives ₹30,000 GST and a ₹6,30,000 invoice. The client pays ₹1,00,000 and later ₹1,50,000. If both advances are quoted GST-inclusive, ₹4,761.90 and ₹7,142.86 of GST is already inside them, so ₹18,095.24 is still to be charged on the final invoice and the client pays a balance of ₹3,80,000. In Zoho's help pages a customer advance is recorded under Payments Received and then applied to the invoice. Whether the advance document matches the receipt voucher your CA expects is a question for them; the Zoho pages we read describe recording the advance, not a document titled receipt voucher. The download works this example out with formulas.

Mixed rates are the second trap, and the fault is usually item setup, not the software. A wedding invoice can hold a hall and food package at 5%, decor at 18% and a DJ at 18%. If someone creates one item called 'Banquet service' at 18% and uses it for everything, food is over-taxed on every bill. A tax rate is set per line, so the fix is one item per service with the right SAC, and the workbook lists ten of them. A venue tool avoids the mistake another way: the package type picks the rate. Either way, ask your CA to check six sample invoices before you go live.

Costs are easy to compare. On annual billing Professional is ₹1,499 a month, or ₹17,988 a year, and includes 5 users. Premium is ₹2,999 a month with 10 users. A hall running Zoho Books Professional next to Kaliquid Pro at ₹999 a month pays ₹2,498 a month, ₹29,976 a year before GST. On Kaliquid's yearly billing at ₹750 a month per hall the pair costs ₹2,249 a month, ₹26,988 a year. The workbook has both options and lets you add halls. One caution about the link between them. The documented Kaliquid export is Tally Prime, and Zoho Books offers Tally migration rather than a Tally export that we could confirm. We do not claim an automatic feed into Zoho Books, so plan on entering monthly totals or ask us about the current option before you rely on it.

Who should do what. Stay with Zoho Books alone if you have one hall, one desk person and few enough events that the diary is reliable. Add a venue tool if several staff take bookings, you place holds, quote on WhatsApp all day or chase advances by hand. Consider a venue tool instead of Zoho Books only when your CA already works in Tally, your accounts are simple and what you need is bookings plus GST invoices and a Tally export. If you have a full-time accountant who lives in bank reconciliation, payroll and multi-branch reports, that person will not want to give up Zoho Books, and they should not have to.
